We are seeking a responsible and detail-oriented Purchasing Assistant to support daily procurement activities and ensure smooth purchasing operations. The successful candidate will assist in supplier sourcing, purchase order processing, inventory monitoring, and maintaining cost-effective purchasing practices to support overall business operations.

Key Responsibilities

• Assist in daily purchasing and procurement activities
• Coordinate with suppliers and vendors regarding quotations, orders, pricing, and deliveries

Requirements

• Diploma or Degree in Business Administration, Supply Chain Management, Logistics, Procurement, or related field
• Minimum 2–3 years of working experience in purchasing or procurement
• Good communication and negotiation skills
• Able to communicate effectively in Mandarin, English, and Bahasa Malaysia to deal with china suppliers and partner.
• Able to multitask and work independently with minimum supervision
• Proficient in Microsoft Office applications (Excel, Word, Outlook)
• Strong organizational skills and attention to detail
• Experience in supplier sourcing and vendor coordination is an added advantage

Key Responsibilities

Purchase Orders (PO):

• Assist in issuing all purchase orders to subcontractors and suppliers for required materials and services.
• Ensure goods are purchased in accordance with approved Purchase Requisitions (PR).
• Update and maintain the PO master list on a daily basis.

Supplier Management:

• Negotiate pricing and terms with suppliers to secure the best possible deals.
• Assist in sourcing quotations, comparing prices, and ensuring cost‑effectiveness.
• Establish and maintain an up‑to‑date supplier contact list.

Order & Delivery Monitoring:

• Track order status and delivery timelines to ensure timely receipt of materials and services.
• Follow up with suppliers on pending deliveries and resolve discrepancies.

Documentation & Records:

• Assist in maintaining accurate records of purchased items, delivery details, and invoices.
• Ensure proper filing of procurement documents in both softcopy and hardcopy formats.

Administrative Support:

• Assist in general office maintenance and administrative matters.
• Handle phone calls and receive mail when reception is unavailable.
• Receive documents and sign for deliveries.

Team Collaboration:

• Work closely with the purchasing team to ensure smooth workflow and gain knowledge of procurement processes.
• Provide ad‑hoc support to team members as required.
• Undertake any other related tasks assigned by the superior from time to time.

Qualifications & Skills

• Diploma/Degree in Business Administration, Supply Chain, or related field.

About the Role

We are looking for a Project Engineer to join our project team for a major building and infrastructure project located on Penang Island.

This is a site-based position. You will play an important role in coordinating construction activities and assisting in the successful delivery of the project in accordance with approved drawings, construction programme, quality requirements, and safety requirements.

This role requires close coordination with the management team, consultants, and subcontractors.

Requirements

• Degree or diploma in Civil Engineering, Building Construction, Architecture, Mechanical & Electrical Engineering, or other related construction / engineering disciplines.

• Minimum 2 years of working experience in building construction, infrastructure works, M&E works, site coordination, or project engineering.

• Experience in site coordination, subcontractor management, consultant coordination, drawing coordination, or construction progress follow-up.

• Experience in reviewing construction drawings / shop drawings, coordinating site works, preparing or assisting in method statements, and arranging site inspections will be an advantage.

• Familiar with construction processes, construction methods, building materials, site quality requirements, and safety management requirements.

• Candidates with experience in architectural, structural, and M&E coordination will be preferred.

• Able to work independently at site and coordinate effectively with management, consultants, subcontractors, and other project stakeholders.

• Good communication skills, strong sense of responsibility, and ability to solve site issues.

• Able to communicate in basic English, prepare reports, and handle project documents.

• Proficient in AutoCAD and Microsoft Office. Familiarity with MS Project or other relevant engineering / project management software will be an advantage.

• Able to be based full-time at the project site on Penang Island and attend site inspections, coordination meetings, and other construction management activities as required by the project.

Important Note

This is strictly a site-based position, mainly supporting building construction works on Penang Island.

Candidates with only industrial, manufacturing, factory, or facility maintenance background may not be suitable for this position.
