We are looking for an experienced, hands-on HR professional to oversee our full-spectrum HR operations, with a strong focus on payroll management, statutory compliance, and government affairs. As our company continues to grow across our corporate office and multiple factory sites, you will play a critical role in ensuring smooth operations, timely payroll, and up-to-date licensing and certifications with Malaysian authorities.

Key Responsibilities:

• Payroll Management: Handle end-to-end monthly payroll processing accurately and ensure timely submission of all statutory contributions (EPF, SOCSO, EIS, PCB/HRD Corp).
• Government Liaison & Applications: Act as the primary point of contact to follow up on applications with government bodies such as MIDA, MITI, JTK (Labour Department), DOSH, and Immigration (for foreign worker management/quotas if applicable).
• Company Certifications & Licensing: Monitor, renew, and secure necessary factory licenses, business permits, and industry certifications (e.g., MyHIJAU, environmental permits, or local council licenses) to ensure full operational compliance.
• HR Administration: Maintain updated employee records, manage onboarding/offboarding, and handle general office administration for our HQ and factory locations.

Job Requirements:

• Experience: At least 2–5 years of solid experience in handling HR, payroll, and government applications within Malaysia. Experience in a manufacturing, factory, or trading environment is a strong advantage.
• Knowledge: Well-versed in Malaysian Employment Act, labor laws, and statutory requirements.
• Skills: Proven track record of independently handling and following up on complex government documentation and certification processes.
• Attributes: Highly organized, proactive in following up with government officers, and capable of working independently.
• Language: Fluent in Bahasa Malaysia and English (ability to speak Mandarin is an added advantage for factory coordination).

Key Responsibilities

• Prepare and issue customer Delivery Orders (DO), invoices, and credit notes.
• Verify that goods loaded onto delivery vehicles match the corresponding Delivery Orders.
• Handle incoming phone calls, emails, and customer inquiries in a professional and timely manner.
• Investigate and report discrepancies between system inventory records and physical stock counts.
• Prepare and monitor customer Statements of Account (SOA), and follow up on outstanding payments.
• Process petty cash claims, staff reimbursement claims, and utility payments.
• Liaise with external parties, including auditors, tax agents, company secretaries, and bankers.
• Maintain accurate filing and documentation of administrative and accounting records.
• Assist with general administrative and accounting duties as required.
• Perform any other ad hoc duties assigned by the superior or management.

Qualifications & experience

• Familiar with Autocount accounting software will be an advantage.
• Experience in trading business environment is preferred.
• Proficient in Mandarin, English and Bahasa Malaysia.
• Able to start work immediately or with short notice will be an advantage.

Job Description

• Manage general ledger, journal entry, accounts payable, and accounts receivable, including data entry, fixed assets, full set accounts.
• Reconcile bank accounts, vendor / customer statements, vendor / customer aging, ensuring all accounts are updated and balanced.
• Provides accounting & administrative support to finance manager.
• Filing accounts and admin related documents.
• Involved in month end accounts closing.
• Preparing, reviewing, and managing annual audits, and liaising with auditors, company secretary.
• Review summary / report of project prepared by project team.
• Preparing, reviewing and submitting SST reports.
• Communicate with customer & supplier for payment purposes when required, prepare payment for suppliers.
• Supervise / review assistant works to ensure accurate accounting data entry and timely reports.

General

• Provide fully support / assist to finance manager.
• Any other duties and ad-hoc tasks to be assigned from time to time.
• Month-End & Year-End Closing: Finalizing accounts for a specific period to ensure all transactions are properly recorded.
• Ensure compliance with accounting standards and statutory requirements.

Experience & Qualifications

• At least diploma in accounting.
• Minimum 3 years working experience in this position.
• Knowledge of MS Office ( MS Excel, Word, outlook )
• Highly committed and able to work independently within tight datelines.
• Punctuality, good attendance, responsible, good communication & independent.
• Required language: English, Bahasa Malaysia, Mandarin is compulsory.
• Strong organizational skills with the ability to multi-task.
• Experience using SQL Accounting system will be an advantage.
• Strong in accounting double entry.
