About The Role

We are currently seeking a dedicated and detail-oriented individual to join our team as a Senior Purchasing Admin Executive to support both purchasing and general administrative functions.

Responsibilities:

Purchasing Duties

• Prepare and process purchase orders, verify accuracy and match with quotes.
• Coordinate procurement activities for materials, suppliers, and equipment.
• Track supplier delivery schedules and manage logistics for both local and overseas shipments.
• Liaise with warehouse team for goods receipt and ensure proper documentation.
• Resolve issues with purchases or services in collaboration with vendors or users.
• Match supplier invoices with delivery orders/service reports.
• Generate monthly outstanding PO reports for management.
• Perform administrative tasks including data entry, filing, and documentation.
• Ensure compliance with purchasing policies and procedures.
• Participate in quarterly stock takes and internal audits.
• Handle vendor communication via calls and high-volume emails.
• Support third-party coordination including contractors and logistics providers.

General Administrative Duties

• Manage inventory and replenishment of office supplies and pantry refreshments.
• Handle orders for business cards, rubber stamps, and company uniforms.
• Assist in planning and execution of company events and staff activities.
• Provide ad-hoc administrative support across departments as required.

Requirements:

• Minimum GCE 'O' Level or equivalent; diploma preferred.
• At least 2 years of experience in purchasing or administrative support.
• Proficient in Microsoft Office applications.
• Good organizational, communication, and multitasking skills.
• Able to work independently and handle confidential information.

Warehouse & Operations

• Inventory Management: Receiving, checking, and organizing incoming goods, as well as picking, packing, and dispatching orders.
  
• Documentation & Systems: Updating inventory systems, processing delivery orders, and ensuring stock accuracy.
  
• Stock Checks: Conducting regular stock takes (physical counting) and investigating discrepancies.
  
• Logistics & Maintenance: Loading/unloading stock and maintaining storeroom cleanliness and safety.
  
• Supplier Liaison: Communicating with suppliers regarding deliveries, discrepancies, and shortages.
  
• System Health Check: Periodic check on inventory status and conduct power on test. Inventory includes Cisco, Alcatel, Checkpoint, Palo Alto devices.
  
  

IT / Integration Support

• Handle IT equipment such as servers, networking devices, storage systems, and peripherals with proper care and ESD awareness.
  
• Assist with basic IT integration activities, including asset tagging, serial number capture, and physical staging of hardware.
  
• Update asset information accurately in WMS, ERP, or asset management systems.
  
• Support kitting, de-kitting, and pre-deployment preparation of IT hardware according to project requirements.
  
• Perform basic visual checks on IT equipment for damage or missing components and escalate issues when required.
  
• Work closely with integration, logistics, and project teams to ensure accurate and timely fulfilment of IT-related orders.

Area of responsibilities

1)     Issue purchase order (PO) and follow up with suppliers to ensure prompt delivery.

2)     Ensure timely and accurate entry and maintenance of pricing, quantities, and units of measurement to uphold system integrity.

3)      Review, forecast, and maintain a healthy balance of inventory to prevent out of stock and low inventory turnover.

4)      Identify, drive, and implement cost-saving initiatives through strategic sourcing, supplier negotiations, and process improvements.

5)      Perform pricing tabulation and report for cost saving initiatives, cost competitiveness or cost increase analysis.

6)     To generate reports for management review when required.

7)      Review, maintain, and negotiate current pricing or contracts with suppliers while ensuring the quality of products and services.

8)      Review and resolve any supplier order and quality issues.

9)      Sourcing and identifying potential suppliers for company products, visiting existing suppliers, if necessary, to build and maintaining good relationships with suppliers.

10)  Update or creation of existing and new vendor in BC system.

11)  Update or creation of existing and new product item code in BC system.

12)  Assist in ISO audits and preparation.

13)   Any other area of responsibilities that the company deems necessary.

Working Hours

Job Responsibilities:

• Administer orders, contracts, and shipping documents to ensure accurate delivery of goods to their destinations on time.
• Communicate inventory issues or price change requests to the procurement manager in a timely manner.
