Job Description

We are seeking a responsible and detail-oriented Purchasing Assistant to support daily procurement activities and ensure smooth purchasing operations. The successful candidate will assist in supplier sourcing, purchase order processing, inventory monitoring, and maintaining cost-effective purchasing practices to support overall business operations.

Key Responsibilities

• Assist in daily purchasing and procurement activities
• Coordinate with suppliers and vendors regarding quotations, orders, pricing, and deliveries
• Process purchase orders and ensure timely follow-up with suppliers
• Maintain accurate purchasing records and documentation
• Monitor stock and inventory requirements
• Compare pricing and negotiate for cost-effective purchases
• Support administrative and operational purchasing functions
• Ensure smooth communication between internal departments and suppliers

Requirements

• Diploma or Degree in Business Administration, Supply Chain Management, Logistics, Procurement, or related field
• Minimum 2–3 years of working experience in purchasing or procurement
• Good communication and negotiation skills
• Able to communicate effectively in Mandarin, English, and Bahasa Malaysia to deal with china suppliers and partner.
• Able to multitask and work independently with minimum supervision
• Proficient in Microsoft Office applications (Excel, Word, Outlook)
• Strong organizational skills and attention to detail
• Experience in supplier sourcing and vendor coordination is an added advantage

Physical Requirements

• Ability to perform sedentary office work, including extended periods of sitting
• Frequent use of computer, paperwork handling, and administrative coordination
• Occasional movement within the office or warehouse may be required to coordinate purchasing activities or verify goods
• Able to manage multiple tasks in a fast-paced working environment

文件和記錄：

• 確保採購文件以電子版和紙本版兩種形式妥善歸檔。

行政支援：

• 協助處理辦公室日常維護和行政事務。
• 前台不方便時接聽電話及接收郵件。
• 接收文件並簽收快遞。

團隊協作：

• 與採購團隊密切合作，確保工作流程順暢，並了解採購流程。
• 根據需要為團隊成員提供臨時支援。
• 執行上級不時指派的其他相關任務。

資格與技能

• 工商管理、供應鏈或相關領域的文憑/學位。
• 較強的談判和溝通能力。
• 注重細節，具備良好的組織能力。
• 熟練微軟辦公室軟體（Excel、Word）和採購系統。
• 能夠獨立工作，也能作為團隊成員協作。

除了英語和馬來語外，還需具備閱讀、寫作、說普通話的能力，以便與供應商溝通並確保包容性。

• Plan and purchase material according to Sales Order
• Evaluates suppliers on price, quality of products and delivery time. To review, verify and check the details of Purchase Order (PO) & Supplier’s Delivery Order (DO)
• Maintaining supplier records and purchasing records
• Able to handle daily activities such as Purchase Receive and Purchase Order, dealing with Supplier, expedite and update user on supplier committed delivery
• Maintenance of stocks coding system
• Monitor stock levels and place orders as needed
• Following closely with supplier for the packing list and handle freight shipment
• Prepare reports on purchases, including cost analyses
• Enter order details (e.g. vendors, quantities, prices) into internal databases
• Track orders and ensure timely delivery
• Coordinate with warehouse staff to ensure proper storage
• Handling claims of defective products whether under warranty or replacement
