The Project Administrator provides administrative coordination, and systems support project managers and project teams to ensure effective project execution. The role includes maintaining project documentation, and handling project-related transactions in SAP, including project creation, cost & revenue update, booking of change orders, issuance of project requisitions, monitoring project Job status report, customer billing, and vendor invoice processing etc. The Project Administrator plays a key role in supporting project controls, financial accuracy, and timely reporting.
Your responsibilities
· Create and maintain project structures in SAP (e.g., project setup, basic master data) as instructed by Project Manager / Project Controller
· Regularly update of planned cost and revenue in project JSR (PS/SD Module)
· Booking of changes orders after receipt of approved CO’s from customers as per instruction by Project manager/Project controller
· Support customer billing processes in SAP, including preparation, submission, and follow-up of project billing
· Process vendor invoices in SAP, ensuring accuracy, correct project coding, and timely posting
· Assist with tracking project costs, commitments, and invoices to support project financial control
· Coordinate with Finance and Project Controls teams to resolve SAP-related billing or invoice issues
· Follow up customer for overdue invoices
· Timely support during Audit with required documentation
· Preparation of shipping documents, follow up on shipping and consignment details
· Verification of timesheet for contractors and subsequent preparation of working for customer invoices.
· Update of master data for 3rd party time sheet management.
Requirements
· Diploma or bachelor’s degree in business administration, Finance, Accounting, Project Management, or related field
· 5+ years of experience in related fields
· Team players with enthusiastic character and proactive communication drive to achieve optimal results.
· Good understanding of basic project financial processes (costs, billing, invoicing)
· Exceptional analytical and problem-solving abilities.
· Ability to manage multiple tasks and support multiple projects simultaneously
· Excellent communication skills
· Prior experience in a Project Administrator / Project Support / Project Finance role preferred
