RESPONSIBILITIES

• Provide administrative support to the Project Manager and site team to ensure project operational efficiency
• Administer daily incoming and outgoing correspondences, maintain accurate and updated electronic and paper filing systems for quick retrieval
• Schedule appointments, manage calendars and site visits for coordination of team activities
• Upkeep of project documentation including drawings, reports and contracts to ensure accuracy
• Distribute documents, track and assist to prepare submissions, approvals, and project reports to monitor project progress
• Manage attendance records to support workforce tracking
• Maintenance of site office supplies
• Assist in other duties that are assigned from time to time

REQUIREMENTS

• Minimum Diploma or equivalent
• GCE N/O/A-Levels applicants with relevant experience are welcomed to apply
• Preferably to have at least 2 - 3 years working experience in the Construction industry
• Knowledge on Aconex construction software or other document control software is an added advantage
• Proficient in MS Office (PowerPoint, Excel, Words)
• Must be able to communicate with PRC / Chinese workers
• Able to work independently with minimal supervision
• Positive working attitude with good interpersonal skills
• Good written and verbal communication
• Working location - Tuas Avenue
• 5.5-day work week (Alternate Saturdays)

Job Summary

We are seeking a proactive and organized Project Admin Assistant to support the Project Manager and project team in managing daily administrative and documentation activities at the construction site. The successful candidate will be responsible for maintaining project records, coordinating communications, preparing reports, and ensuring proper document control to facilitate smooth project operations.

Responsibilities

Administrative Support

• Provide administrative assistance to the Project Manager and site management team to ensure efficient project operations
• Manage daily correspondence, organize filing systems, and maintain document organization for easy retrieval
• Prepare meeting agendas, record minutes, and track follow-up action items to support project progress
• Schedule meetings, appointments, and site visits to coordinate team activities and stakeholder engagement
• Handle incoming and outgoing project-related communications to maintain clear information flow

Document Control

• Maintain and update project documentation including drawings, reports, contracts, and correspondence to ensure accuracy
• Implement proper filing and version control to prevent document discrepancies
• Distribute updated documents promptly to relevant stakeholders to support informed decision-making
• Track submissions, approvals, and project records to monitor project compliance and progress

Site Administration

• Manage attendance records and manpower reports to support workforce tracking and reporting
• Assist in onboarding site personnel and maintain personnel records to ensure accurate staffing information
• Support procurement and material request documentation to facilitate timely resource availability
• Maintain site office supplies and administrative resources to ensure smooth site operations

Compliance & Record Keeping

• Ensure project records are accurate, complete, and up to date to support audit readiness
• Provide required documentation during audits and inspections to demonstrate compliance
• Maintain confidentiality of project and company information to protect sensitive data

M&E Assistant Project Engineer
Salary: $3000 - $5000
Working days: 5.5 days (Mon - Sat)
Working time: 8AM - 5PM (Mon-Fri) ; 8AM - 12PM (Sat)
Location: Clementi

Job Responsibilities:

• Prepare & submission for product catalogue/technical data, shop drawing, method of statements and O&M to client.
• Provide simple daily reports of work status and reported to management.
• Responsible for all site matters and all documentation for sites assign.
• Ensure site work on schedule and according to the scope of contract.
• To resolve conflicts and attend site meeting.
• Participate in all testing & commissioning with sub-contractors/main – contractor & consultant.
• Conduct training to client before project handing over.
• To assist with any other tasks as assigned by the management.

Requirement:

• Min diploma in Mechanical Engineering. 
• Working Experience in Construction line at least 1-2 years. 
• Knowledge in ACMV advantage (Air-Conditioning, Refrigeration, Ventilation Works).
