We are seeking a detail-oriented and proactive Technical Sales Operations Coordinator to support our sales and project delivery team. This role plays a critical part in ensuring smooth order processing, timely delivery coordination, accurate documentation, and efficient project fulfilment.
You will act as the bridge between customers, sales, technical teams, and logistics partners—ensuring seamless execution from order confirmation to final delivery and payment collection.
Key Responsibilities
1. Sales & Order Administration
- Prepare and process Delivery Orders (DO), invoices, and related documentation
- Ensure all sales documents are accurate, complete, and properly recorded
- Maintain proper filing and documentation for audit and tracking purposes
2. Delivery & Logistics Coordination
- Plan and manage weekly delivery schedules
- Coordinate with forwarders and internal delivery teams to ensure timely dispatch
- Liaise with customers on delivery arrangements and scheduling
- Track deliveries and ensure successful completion
3. Project Coordination
- Work closely with the technical/engineering team to confirm project readiness before delivery
- Ensure all project milestones are completed prior to shipment
- Monitor and follow up on project timelines to ensure on-time delivery
4. Customer & Payment Management
- Coordinate with customers on delivery timelines and requirements
- Manage Cash-on-Delivery (COD) processes:Ensure payment is collected before or upon deliveryFollow up on outstanding payments where required
- Maintain good customer communication to ensure smooth transactions
5. Inventory & Stock Control
Update and maintain monthly stock and inventory records
Ensure accurate stock deduction upon delivery
Work with warehouse or internal teams to reconcile stock discrepancies;
Requirements:
Diploma or ITE certifications in Engineering, Supply Chain, or related field
Minimum 2–3 years of experience in sales coordination, logistics, or operations support (preferably in IT/technical environment)
Familiar with invoicing, DO processing, and inventory management
Strong coordination and multitasking skills
Good communication skills (to liaise with customers and internal teams)
Proficient in Autocount, UBS, or Microsoft Excel and ERP systems (if applicable)
Detail-oriented with strong sense of responsibility and accountability
