Job Summary

The HR Admin Assistant providesadministrative and coordination support to the Human Resources Department inmanaging day-to-day HR operations. Key Responsibilities

1. HR Administrative Support

• Maintain and update staff personnel files and HR records, both physical and digital.
• Prepare and submit staff issuance documents, including ID cards, onboarding forms and related HR documents.
• Coordinate new hire documentation and onboarding packs.
• Assist with filing, scanning, data entry and document control.
• Ensure HR documents are properly maintained and ready for internal review, audit or compliance checks.
• Support HR in preparing letters, forms, reports and other administrative documents when required.

2. Work Pass, Passport and Regulatory Coordination

• Track and monitor foreign staff work pass matters, including Work Permit, S Pass and passport expiry dates.
• Coordinate with vendors, employment agents and relevant parties for timely submission, renewal and cancellation of work passes.
• Assist in preparing and maintaining MOM-related documentation.

3. Six-Monthly Health Check-Up and MedicalCoordination

• Arrange six-monthly medical check-ups for foreign staff where applicable.

• Maintain proper records of medical reports, check-up status and related documents.

4. Jab / Vaccination Coordination

• Coordinate staff jab or vaccination arrangements when required by the Home, authorities or operational needs.
• Liaise with clinics, healthcare providers and internal departments on vaccination schedules.
• Follow up with staff to ensure attendance and completion of required vaccinations.
• Maintain accurate vaccination records and supporting documents.

5. Staff Insurance Coordination

• Assist with staff insurance enrolment, updates and administrative follow-up.
• Coordinate with insurance providers, staff and internal departments on staff insurance matters.
• Support the submission and follow-up of insurance-related documents.

6. Travel and Air Ticket Arrangement

• Arrange air tickets for foreign staff for home leave, emergency leave, repatriation or other approved travel purposes.
• Liaise with travel agents or booking platforms to source suitable and cost-effective flight options.
• Coordinate with staff on travel dates, passport details and required travel information.
• Maintain records of air ticket bookings, approvals and related documents.
• Ensure travel arrangements are aligned with HR policies, budget and operational requirements.

7. Training and Data Entry

• Key in AIC training hours and update staff development records.
• Assist in formatting, preparing or submitting training-related reports and summaries.
• Maintain accurate training records for reporting and audit purposes.
• Support HR in tracking staff training attendance and training completion status.

8. Filing, Archiving and Document Control

• Archive staff and resident records in the basement archival room according to filing protocols.

9. Ad-Hoc and Cross-Support Duties

• Support recruitment by helping recruiters schedule interviews, communicating with candidates, and posting job openings on recruitment platforms to streamline hiring
• Serve as a reliable first point-of-contact for employee inquiries related to staff welfare, benefits, company policies, and time-off requests to enhance employee relations
• Assist with compliance by supporting workplace postings and audits in accordance with local labour laws to maintain regulatory standards
• Support benefits administration and open enrollment logistics to ensure accurate and timely employee benefits management

Preferred Competencies and Qualifications

• 1–3 years of experience in administrative assistant, office coordinator, or HR support roles to demonstrate relevant work exposure
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google apps (Forms, Sheets, Drive) to efficiently handle HR tasks
• Strong interpersonal skills to communicate effectively with employees and team members
• Exceptional organizational skills to manage multiple tasks and maintain order in HR operations
• Proven ability to handle sensitive and confidential information with professionalism and discretion

Job Responsibilities:

· Handle and support day-to-day HR and Admin related matters

· Prepare HR Letters (i.e. Disciplinary, Contracts, Confirmation, Extension of Probation, Promotion, etc.)

· Maintain accuracy of HR database and updating employee records in HR information system

· Follow up and ensure that all employees’ employment status is updated and processed timely

· Ensure all documentations are properly filed (i.e. P-Files, E-P Files)

· Check and verify staff attendance for Payroll processing

· Check and verify employees’ leave application, medical claims, etc.

· Validate and prepare biometrics report for billing

· Handle employees’ enquiries and feedbacks

· Assist in claims submission, government grants, insurance, etc.

· Assist in coordinating training and development need for employees

· Handle walk-in interviews

· Any other HR/Admin duties assigned

Job Requirements:

· Diploma in Human Resource Management and/or related field

· Minimum 1 year of experience in HR Function (Candidates with no experience are welcomed. Training will be provided)

· Basic knowledge of Employment Act, IRAS and MOM regulations and HR best practices

· Strong organizational and administrative skills

· Proficiency in HR information systems and Microsoft Office

· Positive working attitude, people-oriented, strong team player, excellent communication, and interpersonal skill

· Attention to detail and accuracy in handling HR documentation

· Ability to manage multiple tasks and prioritize effectively

· Meticulous and pleasant disposition
