Job Scope:

Requirements:

• Diploma or Degree in Business Administration or related discipline
• Minimum 2 years of administrative/front desk/reception experience, preferably within an MNC environment
• Experience in handling procurement and invoicing processes, including PR, PO, Goods Receipt (GR), and invoice submission
• Familiarity with Coupa or similar procurement systems will be advantageous
• Good coordination and organizational skills with the ability to manage multiple tasks independently
• Comfortable handling front desk/reception duties and supporting onsite meetings/events
• Good communication and interpersonal skills
• Proficient in Microsoft Office applications such as Excel, Word, and Outlook
• Able to work in a fast-paced environment with minimal supervision
• Meticulous, proactive, and service-oriented mindset
• Prior experience within healthcare, pharma, or MNC environments will be advantageous
• Willing to take on ad hoc administrative and operational support duties as required

Job Description

• Deliver timely administrative and operational support to the CEO to facilitate effective leadership and decision-making
• Coordinate and manage CEO’s meetings, schedules, travel plans, and communications to optimize time and priorities
• Track and follow up on action items and ongoing business matters to ensure completion and progress
• Organize and maintain contracts, records, and business documentation to support operational compliance and accessibility
• Support daily business operations by managing administrative tasks that enable smooth workflow and project execution
• Facilitate coordination between project departments and cross-functional teams to enhance collaboration and project outcomes
• Liaise with external vendors, consultants, and business partners to maintain productive relationships and service delivery
• Manage ad-hoc administrative duties and tasks as assigned to support dynamic business needs
• Prioritize and multitask responsibilities independently in a fast-paced, evolving environment while maintaining accuracy and attention to detail
• Communicate clearly and professionally in written and spoken English to support internal and external interactions

Roles and Responsibilities

You will provide administrative support to the Corporate Secretarial team, assisting with documentation, filings, coordination with internal stakeholders, and general office administration matters.

JOB RESPONSIBILITIES

1. Mail & Bank Statements

• Arrange for the re-direction of mails including scanning and liaising with clients.

• Arrange for the collection and sorting of daily mail for the respective departments.

• Assist in the scanning of bank statements and other related documents for clients with accounting work with us.

• Assist in the scanning of standard letters or correspondences e.g. letters from IRAS, SBF etc.

2. Secretarial Services

• Assist in the scanning of corporate documents for all transfer in clients including the updating of Viewpoint.

• Assist the Team in requesting for Certificate of Incumbency/Good Standing/Company Search Reports for various jurisdictions.

• Assist the Team in arranging for certification/ notarisation of documents.

• Assist the Team with bulk updating of time charges, disbursements etc. in Viewpoint.

• Handle the complete procedure for closed files based on the File Closure Checklist.

3. CDD and Sentroweb

• Updating of individual/corporate profiles in Sentro web for screening including google and other public searches.

• Maintain and follow up with PICs for cases due for CDD reviews and updated identification documents.

• Maintain and follow up with PICs for any alerts from Sentroweb On-Going Monitoring Reports.

• Monitor the completion of the Risk Assessment Review by PIC within 14 days from the appointment of our services.
