Job Description

We are looking for a responsible and committed Admin Executive to support our daily office and project operations.

Roles & Responsibilities

• Liaise with site supervisors, contractors, subcontractors, suppliers, and clients.
• Assist in administrative and billing processes, including Quotations, Delivery Orders (DO), Invoices, Purchase Orders (PO), and payment documentation.
• Prepare and update workers’ attendance, timesheets, and manhour calculations.
• Support the Project Manager in project documentation and reporting.
• Maintain proper filing systems and records for office and project documents.
• Monitor and maintain inventory and office supplies.
• Perform data entry and ensure records are updated accurately.
• Coordinate meetings, appointments, and site visits when required.
• Carry out ad-hoc administrative duties assigned by management.
• SQL Accounting knowledge

Requirements

• Minimum SPM / Certificate / Diploma qualification or at least 1 - 2 years of working experience in administration-related fields.
• Fresh graduates are encouraged to apply.
• Possess a valid driving license.

JOB REQUIREMENT:

Responsibilities:

Quality Assurance/Accreditation Support

• Coordinate and publish bi-annual (May) update for Tutor Handbook from faculty/units; ensure version control and traceability.
• Support quality assurance coordination for the school to close gaps in accreditation
• Support scheduling and logistics for internal reviews and external tri-medical school Basic Medical Education Collaboration (BMEC) meeting; take internal notes and track action items.
• Support action items and minutes preparation for Curriculum Implementation Task Force (monthly) and Undergraduate Steering Committee (quarterly)
• Support the feedback team with data cleaning and preparation for Academic Year Closure, new Academic Year setup

• Perform data quality checks (completeness, consistency, accuracy) and reconcile discrepancies in tutor profile across two feedback collection systems (old and new).
• Perform data quality checks (completeness, consistency, accuracy) and update and run process automation tools to support mass update of new academic year rolled over timetable in the school’s learning management system
• Extract, clean and prepare data from two feedback collection systems (old and new) to support end of Academic Year posting and teaching effectiveness report.
• Adhere to data governance, security, and confidentiality protocols (PDPA, institutional data handling SOPs.

General Coordination and other activities

• Maintain shared trackers, documentation document.
• Draft communications to stakeholders (templates, reminders, status updates)
• Other ad-hoc duties as required for smooth operations of the team/division
• Handover and close-out pack

Requirement:

• Polytechnic Diploma in a related discipline with at least 2 years of relevant experience in data processing/analysis
• Proficient in MS Word, and MS PowerPoint to support secretariat role
• Proficient in MS Outlook calendar management and MS Teams / Zoom for hosting online meetings.
• Experience in data extraction/transformation: Advanced Excel/Google Sheets (lookups, pivots, power query) is a plus.
