RESPONSIBILITIES

We are seeking a highly organised and proactive Workforce Administrative Assistant to support our Facilities, Dormitory, and Security (FDS) operations. The successful candidate will play an important role in maintaining accurate records and providing essential administrative support to ensure smooth day-to-day operations.

Roles and Responsibilities

Facilities, Dormitory & Security (FDS) Support

• Update and maintain dormitory records in the Employee Management System (EMS).
• Perform accurate data entry of resident information into dormitory management systems or spreadsheets.
• Organise, file, and maintain documents such as tenancy agreements, maintenance reports, invoices, and correspondence.
• Ensure all records are properly updated, securely stored, and easily retrievable for audit and operational purposes.
• Prepare FDS claim forms, obtain authorised signatories, and submit documents to Finance; scan and file records in Google Drive.
• Process FDS delivery orders by obtaining verification and signatures, and ensure proper submission and e-filing.
• Facilitate authorised signatory collection for FDS-related invoices and ensure submission to Finance with proper documentation.
• Support the collection of authorised signatures for overtime timesheets.
• Monitor inventory levels, identify low-stock items, and raise Purchase Requisitions in the Taskhub system when required.
• Submit leave applications on behalf of staff in the leave management system when necessary.
• Maintain proper filing of all FDS-related forms and documents.
• Assist in the coordination of FDS-related events or operational activities when required.
• Perform any other duties as assigned by the immediate supervisor or Head of Department.

• Minimum GCE "O" Level or equivalent.
• Minimum 1-2 years of relevant administrative experience.
• Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
• Strong organisational and time management skills with the ability to handle multiple tasks.
• High attention to detail and accuracy in documentation and data entry.
• Good communication skills for effective coordination with internal stakeholders.
• Able to work independently as well as in a team environment.

The successful candidate will be responsible for maintaining accurate manpower deployment records and providing essential administrative support to ensure smooth workforce operations.

Roles and Responsibilities

Manpower Administrative Support

• Maintain and update manpower database and application-based records (e.g. AppSheet or equivalent systems).
• Monitor and track expiry of worker-related certifications and training records in the system.
• Prepare manpower reports for management review and operational planning.
• Assist in consolidating documents required for IPA (In-Principle Approval) applications for workers.
• Ensure manpower records and documentation are maintained in accordance with company policies and relevant regulatory requirements.
• Liaise with workers to obtain and verify required documentation.
• Raise training requisitions for team formation, upskilling, and workforce replacement needs.
• Support general administrative duties and ad-hoc tasks as assigned by management.
• Assist in coordination and execution of company events when required.
