We are looking for a highly disciplined and responsive Executive Assistant to provide comprehensive administrative and operational support to our CEO. The ideal candidate will possess solid knowledge of internal company accounting and be able to assist in managing financial matters effectively. This role requires flexibility to accompany the CEO on business trips and attend corporate events. The successful candidate will also be responsible for assisting in the management of the company's yacht.

• Assist the CEO with daily administrative tasks, scheduling, and internal/external communications

• Handle internal accounting and basic financial records, including expense claims, invoice verification, and simple bookkeeping

• Assist in preparing and reviewing business documents for the CEO

• Accompany the CEO to local and overseas business meetings, site visits, and client events

• Manage travel arrangements including flights, hotel bookings, and itinerary planning

• Oversee the scheduling, maintenance coordination, and administrative matters related to the company yacht

• Handle highly confidential internal documents and sensitive company information

• Complete ad hoc tasks assigned by the CEO and adapt flexibly to business needs

Requirements

• Fresh graduates from local Singapore universities are welcome to apply; candidates with relevant work experience in internal accounting or financial administration are also welcome.

• Degree in Accountancy, Business Administration, or a related field is advantageous

• Fluent in both written and spoken Mandarin and English

• Strong organisational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.

• Willing and able to travel with the CEO, with flexibility on weekends and public holidays

Office Administration:

• Standardize and manage daily office operations.
• Responsible for the procurement and management of office supplies and facilities.
• Maintain filing and document management for administrative forms, contracts, and certificates.
• Record administrative expenses and coordinate with the finance department for cost accounting.

Activities and Coordination:

• Assist in organizing company events, such as team building, D&D.
• Coordinate employee activities and distribution of holiday gifts.

C-level Support:

• Provide administrative and secretarial support to the CEO and management team.
• Manage apartments for expatriates.

Ad-hoc:

• Assist with account applications for employees and onboarding/offboarding processes for new employees.
• Draft and publish internal notices and general administrative documents.
• Ad-hocs assigned by management.

Job Requirements:

• Fluent in both Chinese and English.
• Able to write and speak in Chinese fluently as to communicate well with the stakeholders
• 1-2 years of relevant administrative work experience.
• Strong organizational and multitasking skills.
• Proactive, detail-oriented, and able to work independently.
• Good communication and interpersonal skills.
• Proficient in Microsoft Office software (Word, Excel, PowerPoint).

Responsibilities:

• Handle general administrative tasks, including phone enquiries, office stationery, office maintenance, and attendance checking via the time management system
• Prepare and manage staff petty cash claims
• Provide clerical and administrative support to the team
• Maintain proper filing systems and keep records up to date for easy retrieval
• Assist in preparing supplier payments
• Assist in preparing documents for audit
• Perform other ad-hoc duties as assigned by the management

Requirements:

• GCE ‘O’ Level or equivalent
• With 2 years' site experience from large-scale projects on main contractor side.
• Proficient in Microsoft Office
• Strong interpersonal and communication skills
• Positive working attitude and a team player
• Able to commence work within short notice
