We are looking for an Admin Assistant (Chinese Banquet Kitchen) to join our team!

Job Responsibilities

• Provide administrative support to the Chinese Banquet Chefs
• Manage and respond to emails promptly on behalf of the Chinese Banquet team
• Translate menus, recipes, and communication materials accurately between Chinese and English
• Assist in preparing and updating menus in line with operational needs
• Coordinate and manage staff roster and leaves for the kitchen team
• Maintain proper filing and documentation of kitchen records and correspondence
• Take minutes and support logistics during internal and external meetings
• Liaise with internal departments to ensure smooth kitchen operations
• Monitor inventory reports and assist with basic data entry and tracking
• Support ad hoc administrative duties as assigned by the Chef

Job Requirements

• Diploma or equivalent qualification in Business Administration, Hospitality, or related field
• 3 years of working experience in related field
• Strong administrative and organizational skills with attention to detail
• Ability to manage multiple tasks in a fast-paced kitchen environment
• Proficient in Microsoft Office applications (Word, Excel, Outlook)
• Able to work independently as well as collaboratively within a team
• Prior experience in administrative support or hospitality operations is an advantage
• Proficient in spoken and written English and Chinese as the role requires handling Chinese banquet menus, translating culinary materials, and coordinating with Chinese-speaking stakeholders to support operational effectiveness

Job Description

• Assist in checking of personal hygiene of all the staff, hygiene of chillers & freezers.
• File weekly records for hygiene check lists & photos.
• Help out in packet meals packing.
• Print out daily preparation lists for cooking.
• Maintain a comprehensive filing system.
• Compile and submit petty cash vouchers, suppliers’ invoices, workers’ medical certificate/ leave forms etc. to main office.
• Assist is receiving & checking on incoming goods & deliveries.
• Ad-hocduties as assigned.

Requirements

• Minimum ‘O’ Level.
• Ability to communicate with suppliers & vendors.
• Possess good knowledge of Microsoft Office.
• Must be a fast learner.
• Good in self-discipline, able to work in accordance to instructions.
• Fast and meticulous.
• Able to work on weekends & public holidays.
• Willing to work long hours especially during festive seasons.

We are looking for a Part Time Admin assistant to help with taking daily order, issuance of daily invoices, delivery order, and occasionally help with kitchen post production eg packing of kuehs for delivery.

Working days are flexible and daily pay out. Work timing 5-6 hours daily, timing 8am-(1-2pm)

Must be able to cover when Admin Executive is on leave.

This position is responsible for assisting the administrative and coordination duties between Kitchen, Catering Operations and Catering Sales Team in Catering division.

Administrative Matters

•Prepare inventory listing of the pastry & production team and submit to the Account Department

•Maintain pending GRN Invoice on the Procurement System

•Vet through orders for the Production Team from the restaurants and ensure request are categorized accordingly

•Prepare petty cash claims

•Any other adhoc administrative duties as required

Logistics-related Matters

•Ensure food tags, menu cards and time stamp are printed before food delivery

•Ensure stock check is conducted and items below par level are submitted for order

•Checking of the Sales Order System and ensure function orders are printed out for the drivers and kitchen team

•Booking of delivery drivers for adhoc deliveries

Certification-related Matters

•Ensure implementation of Food Safety System and ISO22000 (forms recording, equipment temperature checks, etc)

•Maintain the Food Hygiene Certification File and ensure all food handlers have valid certificates

REQUIREMENTS

•Diploma fresh graduates are welcome too

•At least 1 year of administrative experience in the related field

•Ability to work independently and in a team

•Good Interpersonal Communication Skills

•High level of responsibility and initiative

•Working Location: Senoko (FoodAxis)

•5 Days Work Week (4 Weekdays & 1 Weekend)
