Job Description

We are looking for a Admin Assistant (Sales Support) to assist our sales team with administrative and coordination tasks in the office.

This role focuses on supporting the sales team with documentation, quotations, and order processing. Training will be provided.

This position is suitable for candidates seeking to build experience in sales administration and office coordination.

Key Responsibilities

• Assist in preparing sales quotations
• Enter and process sales orders in the company system
• Maintain proper sales documentation and records
• Assist Sales Executives with administrative coordination
• Coordinate internally with operations and accounts teams
• Follow up internally on order status where required
• Provide general administrative support to the sales department

Requirements

• Basic computer skills (Microsoft Word, Excel, email)
• Organized and able to follow up on assigned tasks
• Responsible and able to work independently
• Prior administrative experience is helpful but not required
• Fresh graduates and candidates seeking entry-level office experience are welcome to apply.

Working Hours
Our office working hours are Monday to Friday, 8:30 AM – 6:00 PM.

Job Summary

Support administrative operations by preparing reports, managing data entry, handling quotations and invoices, and improving workflows to ensure efficient office processes.

Responsibilities

• Prepare weekly reports accurately to support management decision-making
• Perform data entry tasks to maintain up-to-date and organized records
• File documents systematically to ensure easy retrieval and compliance
• Prepare quotations and track invoices to support financial processes
• Manage CS3/COF requests by coordinating and processing as trained
• Identify and initiate improvements to processes, workflows, or systems for continuous operational efficiency
• Complete ad-hoc administrative tasks as assigned to support team needs

Preferred competencies and qualifications

• Minimum ITE or GCE N/O level qualification
• Proficient use of MS Word and Excel applications to produce documents and manage data
• Ability to use Google Calendar to schedule and organize appointments
• Positive attitude and ability to collaborate effectively as a team player
• Fresh graduates are encouraged to apply
