About the Role
We are looking for a proactive and detail oriented Commercial & Procurement Executive to support project commercial operations across tendering, procurement coordination, subcontractor administration, cost control, and commercial reporting.
This role is suitable for candidates with relevant experience in commercial support, procurement, contracts, or construction administration within engineering, infrastructure, or project based environments. The successful candidate will work closely with project teams and management to ensure accurate commercial reporting, proper documentation control, and smooth commercial execution across projects.
The position offers the opportunity to gain hands on exposure to commercial and procurement functions in major engineering and infrastructure projects, while supporting day to day project delivery and internal coordination.
Key Responsibilities
1. Commercial Support & Cost Control
- Assist in cash flow forecasting, cost control, and project revenue tracking across ongoing projects.
- Support progress claims, variation orders, and measurement and valuation in accordance with contract terms and project requirements.
- Maintain budget versus actual tracking, cost records, variation registers, and supporting commercial data.
- Prepare and support monthly commercial reports for management and headquarters.
- Assist in monitoring project commercial performance and highlight cost related issues or discrepancies where required.
2. Procurement Coordination & Subcontractor Administration
- Coordinate requests for quotations, bid comparisons, negotiations, and purchase recommendations in support of project procurement activities.
- Review subcontractor and supplier progress claims, payment records, and performance related documentation.
- Assist in the preparation, organisation, and follow up of contracts, quotations, purchase related documents, and procurement records.
- Support subcontractor administration matters to ensure proper documentation, timely follow up, and commercial compliance.
3. Tender Support & Commercial Documentation
- Support tender submissions, including bill of quantities checks, commercial clarifications, and compilation of supporting documents.
- Assist in the preparation and organisation of tender related commercial information and documentation for submission.
- Maintain proper commercial documentation and filing for tenders, procurement matters, project cost records, and contractual correspondence.
- Ensure records are accurate, traceable, and properly maintained for internal reference and audit purposes.
4. Coordination & Administrative Support
- Work closely with project teams, internal departments, and management to support commercial and procurement related coordination.
- Provide administrative support for project commercial operations and assist in ensuring timely submission and follow up of required documents.
- Support ad hoc commercial, procurement, and reporting duties assigned by management.
- Assist in improving document control, reporting consistency, and internal coordination across project commercial activities.
Requirements
- Diploma or Degree in Business, Finance, Quantity Surveying, Engineering, or related disciplines.
- Relevant experience in commercial, contracts, procurement, quantity surveying, or construction administration will be preferred.
- Good knowledge of progress claims, variation orders, cost control, subcontractor administration, and procurement coordination.
- Strong numerical, analytical, and documentation skills.
- Proficient in Microsoft Excel, Word, and general commercial documentation tools.
- Able to work independently and manage multiple tasks in a fast paced project environment.
- Good command of English and Chinese, both spoken and written, in order to liaise with headquarters and external parties.
- Good communication, coordination, and follow up skills.
Preferred Experience
- Experience in engineering, construction, infrastructure, rail, M&E, or project based environments will be an advantage.
- Exposure to tender support, procurement administration, cost tracking, or subcontractor coordination will be beneficial.
- Familiarity with commercial reporting, variation records, and project documentation processes will be an advantage.
- Experience in supporting project teams on both commercial and procurement matters will be preferred.
