Admin Executive
Key Responsibilities
Administrative & Office Support
Manage internal and external communications, including phone calls, emails, and general inquiries.
Maintain office documentation, filing systems, and ensure proper recordkeeping.
Coordinate logistics, purchasing matters, and shipping arrangements.
Handle stock inventory updates and ensure accuracy in records.
Prepare daily sales invoices.
Support the monthly closing process and liaise with the accounting team as needed.
Schedule and organize weekly meetings.
Assist with ad-hoc administrative tasks as required.
Marketing & Business Development Support
Plan, create, and execute marketing materials and digital content with the marketing team.
Support promotional campaigns and assist in producing brochures, visuals, and other marketing collaterals.
Coordinate with internal teams and external vendors to implement marketing initiatives.
Requirements
Strong written and verbal communication skills, with good data analysis abilities.
Excellent attention to detail and organizational skills.
Able to multitask effectively in a fast-paced environment.
Proactive, independent, and capable of making sound decisions.
Basic knowledge of logistics and purchasing from local and overseas suppliers is an advantage.
Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
Familiarity with AI tools such as ChatGPT, Microsoft Copilot, Canva AI, or other productivity and content creation platforms is preferred.
Ability to leverage AI tools to improve administrative efficiency, data analysis, content creation, and workflow automation is an added advantage.
