Role Overview

We are looking for a highly organized and tech-savvy Operations Admin to manage our daily operational data, stock records, and domestic logistics coordination. Based at our HQ, you will play a vital role in balancing inventory and coordinating transport allocations between our trading arm and our two factories in Kapar and Johor.

A major focus of this role will be handling our high-volume Palm Kernel Shell (PKS) trading and wood pellet supply chains. The ideal candidate is analytical, structured, and comfortable utilizing modern technology—including AI tools (such as ChatGPT/Copilot for reporting and communication)—to work smarter and faster.

Key Responsibilities:

• PKS & Wood Pellet Allocation: Manage and allocate inventory stocks for Palm Kernel Shells (PKS) and wood pellets to meet ongoing client orders.
• Logistics Coordination: Arrange, schedule, and coordinate domestic transport (lorries/logistics partners) to ensure smooth delivery of PKS and biomass products from our factories or supply points to clients.
• Data & Records Management: Maintain accurate daily records of PKS weights, factory outputs, incoming raw materials, and outgoing deliveries.
• Reporting: Prepare structured weekly operational reports and assist the management team with monthly closing data verification.
• Communication: Act as the operational bridge between the HQ, factory teams, and domestic truck drivers/logistics vendors.

Job Requirements:

• Language Skills: Fluency in Mandarin (written and spoken) is required as you will be dealing extensively with Mandarin-speaking stakeholders, clients, and internal teams.
• Tech Capability: Proficient in Microsoft Excel/Word and experienced in leveraging AI tools (e.g., ChatGPT, AI data tools) to automate daily writing, drafting emails, or organizing operational data.
• Experience: Minimum 1–2 years of experience in operations admin, warehouse admin, or domestic logistics coordination. Direct experience dealing with PKS, agricultural commodities, or bulk material logistics is a massive advantage.
• Attributes: Sharp eyes for numbers (especially tracking metric tons/lorry weight tickets), proactive problem solver when transport delays happen, and excellent time management skills.

Job Descriptions:

1. Generating opening balances of the Remittance partners
2. Prepare forecast for amount to prefund to Remittance partners in consultation with the business team
3. Monitoring bank balance to ensure sufficient balance in the account to execute the deals
4. Request for additional funding from Finance team when required
5. Process Foreign Telegraphic Transfers (TTs) using bank online portal and ensuring bank authorizers approves before the cut-off time
6. Following up on the TTs with bank officers for their execution and ensure all TTs are released before the end of the day
7. Ensure that deals booked for the day have been utilized and there is no outstanding
8. Sending prefunding e-mails to Remittance partners and ensuring prefunding updated in our ledgers accordingly, otherwise to follow up with e-mail
9. To liaise and work closely with Treasury Ops team on available balance of each partner and to switch to another alternative partner if balance runs low (if advance credit is not approved)
10. Ensure balance in Remittance system is correctly maintained and vouchers are key in on a timely manner in Remittance system, including dealing with the developers of
11. Remittance system to correct any identified issues
12. Perform reconciliation of balance between Remittance partners’ statement and Remittance system
13. On Sundays, assist in uploading of bank statement from bank portal to admin portal for
14. Cash Deposit transactions, approval of corporate funding received and validation of bank account.

1. Menjana baki pembukaan rakan kongsi Pengiriman Wang
2. Sediakan ramalan untuk jumlah pra-bayaran kepada rakan kongsi Pengiriman Wang dengan berunding dengan pasukan perniagaan
3. Memantau baki bank bagi memastikan baki akaun mencukupi untuk melaksanakan urusan jual beli
4. Meminta dana tambahan daripada pasukan Kewangan apabila diperlukan
5. Memproses Pemindahan Telegraf Asing (TT) menggunakan portal dalam talian bank dan memastikan pemberi kuasa bank meluluskannya sebelum tarikh akhir.
6. Menindaklanjuti pelaksanaan TT dengan pegawai bank dan memastikan semua TT dikeluarkan sebelum akhir hari
7. Pastikan tawaran yang ditempah untuk hari tersebut telah digunakan dan tiada tunggakan
