To coordinate and provide an efficient administrative support to Marketing and Credit Administration Department.

Responsibilities

• Supervise and check on work done by a team of staff on systems data inputs and updates, various administrative works, financing documents, and management reports
• Coordinator for various financing schemes under Enterprise Singapore
• Custodian of security documents such as guarantees and title deeds
• Perform clearance on-line check with HPFLAS (Hire Purchase, Finance and Leasing Association of Singapore) for vehicles and machineries under OLS financing
• Maintain and manage customer file records for both live files and closed files, including archiving old file records to warehouse
• Maintain and update Procedure Flow Chart, Operating Manual, & Staff Duty Roster
• Consolidate Core Leave planning for the department
• Review existing work process and procedure to provide improvement
• Undertake ad–hoc assignments assigned by supervisor

Requirements

• Minimum Degree holder from the business / finance / accounting discipline
• Minimum 5 years of relevant working experience preferably in Banking and Financial Service industry
• Proficient in Microsoft Office applications
• Possess leadership quality, good communication skill and initiative
• Diligent with initiative and a team player
• Knowledge on Block Discounting and/or Leasing operation would be an advantage.
• Able to start work immediately would be an advantage
• The corporate rank and remuneration will be commensurate with the candidate’s qualification and experience

About Us

With a combined workforce of approximately 100 employees, we are seeking an experienced and hands-on HR & Administration Manager to oversee the full spectrum of Human Resources and Corporate Administration functions across our Group.

Key Responsibilities

Human Resource Management

• Manage the full spectrum of HR functions, including recruitment, onboarding, employee relations, performance management, compensation and benefits.
• Handle employee confirmations, promotions, transfers, disciplinary matters, and terminations.
• Develop, implement, and maintain HR policies, procedures, and employee handbook guidelines.
• Maintain accurate employee records and HR documentation.
• Address employee grievances and support a positive workplace culture.
• Support management on manpower planning and staffing requirements.

Payroll, Leave & Benefits Administration

• Process monthly payroll accurately and on time.
• Administer CPF contributions, IR8A submissions, annual tax filings, leave records, attendance records, and employee benefits.
• Process employee medical claims, insurance claims, and staff welfare matters.
• Ensure compliance with all statutory requirements and payroll regulations.

Compliance & Employment Matters

• Ensure compliance with the Singapore Employment Act, CPF regulations, MOM requirements, and employment-related legislation.
• Stay updated on changes to labour laws and HR regulations.
• Manage work pass applications, renewals, cancellations, and related matters.
• Prepare employment contracts, warning letters, termination letters, HR notices, and other HR documentation.
• Liaise with government agencies, auditors, consultants, and external service providers where required.

HR Systems & Reporting

• Manage and maintain OpenSoft and Info-Tech HR Software.
• Ensure proper administration of payroll, leave, attendance, and employee records within the HR systems.
• Prepare HR reports relating to manpower, payroll, attendance, leave, recruitment, and staff turnover.
• Recommend improvements to HR processes and systems.

Hong Kong HR Administration

No prior Hong Kong HR experience is required. Training and guidance will be provided.

• Support basic HR administration matters relating to Luvenus Jewellery Hong Kong.
• Coordinate employee records, payroll information, leave administration, and HR documentation.
• Liaise with external service providers and consultants in Hong Kong when required.

Corporate Administration

• Oversee day-to-day office administration and corporate support functions.
• Manage office facilities, office supplies, company assets, and vendor relationships.
• Coordinate insurance renewals, licences, permits, and corporate records.
• Maintain contracts, company documents, and administrative records.
• Support Directors and Management with administrative projects and ad hoc assignments.

Requirements

• Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
• Minimum 5 years of relevant HR experience.
• Strong knowledge of Singapore Employment Act, CPF regulations, MOM requirements, and payroll administration.
• Experience managing recruitment, employee relations, payroll, and HR compliance independently.
• Proficient in OpenSoft and Info-Tech HR Software.
• Experience handling medical claims and employee benefits administration.
• Strong communication, interpersonal, and organizational skills.
• Ability to work independently and manage multiple responsibilities across three related companies.
• High level of integrity and ability to handle confidential information.
• Singapore Citizens and Singapore Permanent Residents only.

As the Manager under the Operations Implementation and Management (OIM) team, you will be responsible for providing the following administrative and logistical support to the team: 

• Provide operational and administrative support such as, pre-event planning, event day execution and post-event support to ensure smooth end-to-end conduct of events (these include and are not limited to outreach events, career fairs, virtual career events and workshops/seminars)

• Provide targeted outreach to the database of individuals to proactively get them to participate in relevant events and activities

• Manage vendors to provide logistics support, including pre-registration, onsite execution of event and post-event tracking

• Monitor events’ performance, manage information and analyse trends 

• Organise after-action review to evaluate participants’ turnout, identify gaps, gather feedback from internal and external stakeholders, and propose areas of improvement 

Requirements

Experience

• At least 3 years of experience in event management, customer service, or a related field.
