JOB DESCRIPTION

• Provide sales and administrative support to sales team
• Liaise and follow up with customers on enquiries via teleconference and emails.
• Preparing of quotation based on customer requests
• Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
• Manage all event set-up, tear down, and follow-up processes.

REQUIREMENTS

• Education level: O-level, Diploma, or Degree holders in Event Management
• 2years of experience in an admin / support role is advantageous but not mandatory.

Job Description

• To ensure a smooth and accurate order fulfillment and logistics management for overseas distributor.
• Plan and submit demand to in-house system.
• Raise PI (proforma invoice) based on allocation received.
• Generate and issue weekly account statement.
• Liaising with Sales to ensure timely collection of customer payment.
• Arrange delivery based on different inco-terms, assist company in delivery cost controls, prepare export documents such as BL, commercial invoices and packing list.
• Closely monitoring shipment status from worldwide manufacturing sites, update stakeholders on delivery schedule and ensure all deliveries are smoothly made.
• Prepare and process shipment for letter of credit (LC), arrange export documents and ensure data accuracy and present LC documents on time. Monitoring transactions and follow until payment received.
• Thorough and regular refund/rebate document preparation. Ensure accuracy and timely process of the rebate documentation.
• Actively liaise with customers and Sales team to provide logistics and order supports.
• Ensure customers’ requests and enquiries are fulfilled in a prompt action.
• Aggressively follow up and be proactive in provide extended support to both internal and external teams.
• Any other tasks as and when assigned by the management.

Job Requirement:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma in Supply Chain/Business Admin or relevant.
• Minimum of 1 year(s) of working experience in the related field is required for this position.
• Candidates must be proficient in Mandarin due to regular daily communication and liaison with our HQ.

Responsibilities

1. Event Planning & Coordination

• Plan, organize, and execute events (corporate functions, institutional catering, internal events)
• Liaise with clients to understand requirements, objectives, and expectations
• Prepare event proposals, timelines, and detailed execution plans
• Coordinate end-to-end event logistics from setup to teardown

2. Client Management

• Serve as the main point of contact for clients before, during, and after events
• Provide professional advice on menu selection, setup, and event flow
• Ensure high level of customer satisfaction and handle feedback or complaints promptly

3. Operations & Logistics Coordination

• Work closely with kitchen, logistics, and operations teams to ensure smooth execution
• Coordinate manpower deployment, delivery schedules, and on-site setup
• Ensure all equipment, food, and materials are prepared and delivered on time

4. On-Site Event Execution

• Oversee on-site event setup and ensure alignment with client expectations
• Troubleshoot operational issues in real-time and ensure minimal disruption
• Ensure service standards, hygiene, and presentation are maintained

5. Vendor & Stakeholder Coordination

• Liaise with external vendors (e.g. equipment rental, décor, transport)
• Ensure vendors meet service standards, timelines, and cost expectations
• Manage procurement requests related to events

6. Documentation & Reporting

• Prepare quotations, event orders, and post-event reports
• Track event budgets, costs, and profitability
• Maintain proper documentation and records for all events

Requirements

• Diploma / Degree in Hospitality, Events Management, Business, or related field
• Minimum 2–4 years of experience in event planning, catering, or F&B operations
• Strong organizational and project management skills
• Excellent communication and interpersonal skills
• Ability to work in a fast-paced, operational environment
• Hands-on and willing to be on-site for event execution (including weekends/public holidays if required)
• Strong problem-solving skills and ability to handle last-minute changes
• Proficient in Microsoft Office (Excel, PowerPoint, Word)

The Senior M&E Coordinator is responsible for the coordination and execution of all M&E works at site in a timely manner.

Job Responsibilities

• Understand contract requirements and M&E specifications in order to monitor progress, quality of workmanship and compliance with project requirements/construction schedule.
• Liaise with design consultants on the design intent.
• Coordinate with in-house architectural & structural team to minimize discrepancies.
• Check and prepare material sample with shop drawing submission.
• Attend and facilitate M&E coordination meeting.
• Prepare M&E coordination drawings and liaise with Architectural Coordinators and Design Engineers for drawing issuance.
• Assess, prepare and submit progress claims for project consultants & subcontractors.
• Coordinate and assist site superintendent on installation and maintenance of site temporary utilities services.
• Adherence to safety practices in the work place.

Job Requirements

• Degree in Mechanical Engineering or relevant discipline from a recognized University.
• At least with 5 years of relevant work experience in coordination of M&E works with different trades (e.g. C&S & Archi) and other stakeholders (e.g. consultant and subcontractors) for large scale building projects with an A1 main contractor.
• Candidates with either mixed development, condominium or data center projects would have an added advantage.
• Understand contract requirement and M&E specification.
• Understand BIM concept and be able to supervise and push for M&E works to be completed timely with relevant stakeholders.
• Able to manage and solve complex problems at site.
• Understand all the essential code of practices and relevant authority requirements for submissions of documents and inspections.
• Understand and participate in the implementation of Virtual Design Construction (VDC) concept.
