Job Description: Specialist – Supplier Bonus & Rebate Settlements

Role Purpose

This role focuses on managing and checking supplier bonuses and rebate agreements. You will make sure calculations are correct, suppliers follow agreed terms, and all settlements are done accurately. You will also provide data and insights that help improve profitability and support buying teams.

Key Responsibilities

1. Supplier Bonuses & Rebates

• Keep all supplier bonus and rebate agreements updated and correct (such as volume rebates, growth incentives, slabs, and trading terms).
• Ensure all bonus and rebate amounts are calculated accurately after transactions.
• Work with category managers to finalize bonus calculations.
• Prepare settlement statements and confirm them with suppliers.

2. Reconciliation

• Match supplier turnover figures with company turnover and fix any mismatches.
• Check if actual purchase volumes match agreed bonus slabs.
• Identify missed or unpaid rebates and suggest corrective actions.
• Manage recoveries through credit notes, debit notes, or supplier settlements.

3. Contracts & Agreements

• Maintain a central record of all supplier contracts, addendums, and yearly terms.
• Ensure all documents follow company compliance rules and procurement policies.
• Track contract expiry dates and support category teams with renewals.
• Escalate pending recoveries due to insolvency to the legal team.

4. Data Analysis & Insights

• Analyze trends in supplier income, rebates, and contract profitability.
• Provide required reports and insights to category teams.
• Identify opportunities to improve processes and reduce gaps.

5. Stakeholder & Supplier Coordination

• Work closely with Buying, Finance, Accounts Payable, and Supply Chain teams.
• Act as the main contact for suppliers regarding settlements, reconciliation, and turnover alignment.
• Support category teams during negotiations with accurate data.

6. Audit, Compliance & Controls

• Follow all business rules and financial control processes.
• Provide proper documents for audits.
• Strengthening controls to prevent errors, leakage, or missing income.

Required Skills

Technical Skills

• Strong understanding of trading terms and B2B discounts.
• Excellent Excel skills (formulas, pivot tables, etc.).
• Experience with SAP or other wholesale ERP systems.
• Understanding of wholesale pricing (WSP, margins, landed cost).
• Knowledge of accruals, reconciliation, settlements, write offs, and supplier ledger.
• Experience in supplier follow-ups (dunning process).
• Understanding of supplier open items management.

The Senior Auditor is responsible for overseeing all Internal Control System (ICS) activities and ensuring timely closure of Control Self-Assessments for MGSC India. This role ensures that all ICF (Internal Control Functions) activities are to be completed within agreed timelines with accuracy, while proactively identifying and highlighting any observations or deviations in controls.

Additionally, the Senior Auditor is accountable for analyzing data and presenting insightful reports to key stakeholders. This position plays a critical role in evaluating and strengthening the organization’s internal control framework by identifying risks and recommending control measures and strengthening the process.

The Senior Auditor collaborates closely with cross-functional teams to ensure robust governance and effective risk management practices are consistently implemented.

Key Responsibilities:

• Maintain and strengthen the internal control framework in collaboration with Group Governance to ensure organizational compliance and effective governance.
• Ensure timely follow-up with business teams for completion and proper documentation of ICF controls as per the defined design.
• Manage and execute end-to-end ICF activities.
• Assess new areas & processes within GSC and onboard them into the ICF/ICS framework, ensuring appropriate control coverage and governance alignment.
• Collate and validate data received from across the functions to ensure accuracy and completeness.
• Perform monthly ICF audits in line with established standards.
• Liaise with operations teams and other stakeholders to validate data and gather additional input as required.
• Analyze data and present insightful reports to relevant stakeholders.
• Support internal (group) and external auditors by providing necessary documentation from ICF perspective.
• Identify opportunities and propose initiatives to reduce non-value-added (NVA) activities within the ICF process.
• Demonstrate flexibility to take on additional responsibilities as required.
• Organize and facilitate knowledge transfer sessions, including training and knowledge-sharing initiatives.   

• Lead a regional HR Shared Services delivery team of 10+ members, providing day-to-day supervision, coaching, and mentoring to ensure high-quality and consistent service delivery.
• Manage and resolve complex employee inquiries received through multiple channels (e.g., ServiceNow, HR Portal), ensuring timely and compliant resolution aligned with SLAs.
• Oversee and ensure efficient administrative support for all HR processes, while maintaining adherence to SLAs and internal compliance standards.
• Monitor and manage transaction volumes, team workload, and case resolution metrics, sharing regular performance updates during HRSS service delivery meetings with stakeholders.
• Coordinate with internal HR teams and cross-functional departments to ensure seamless service delivery and support across all operational touchpoints.
• Ensure Standard Operating Procedures (SOPs) and process maps are consistently maintained, updated, and adhered to across all HR activities.
• Develop and track Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) for the team in collaboration with HR and business leaders to drive operational efficiency.
• Prepare and present performance trend reports, highlighting key insights, service gaps, and recommendations for improvement to HR leadership.
• Conduct regular quality checks and audits to validate data accuracy, compliance, and adherence to standard processes.
• Provide ongoing support, feedback, and performance development to team members, fostering a culture of continuous improvement and accountability.
• Act as the primary point of contact for HR stakeholders, building and maintaining strong relationships to ensure transparency and alignment on expectations.
• Proactively manage and resolve escalations, ensuring compliance standards are met and trends are analyzed to identify root causes and implement preventive solutions.
• Contribute to and lead larger HR projects or initiatives as required, supporting transformation, technology implementation, or service optimization efforts.
• Drive consistency in ways of working, ensuring standardized processes are implemented and continuously improved across the HRSS team.

Here are the desired Skills and Experience…

• Experience, preferably in a HR Shared Services function supporting European Union
• Should have at least 4 years of experience leading/managing a team of at least 7-10 employees

• Considerable experience in a HR Shared Services or HR Operations function
• Proficiency in data entry and maintenance in HR systems like Oracle and SAP.
• Excellent communication skills with the ability to articulate at all levels
• Experience in performing quality review of completed personnel and organizational data change actions
• Strong experience of enabling tools including in depth knowledge of Microsoft products. Skilled in analysis and reports.
• Adaptability to new technologies and regional complexities
• Exceptional customer service and collaboration skills

• Manage the end-to-end employee life cycle (Hire to Retire) in alignment with local and regional HR policies and procedures
• Handle a variety of HR operational processes with accuracy and timeliness, ensuring compliance with regional guidelines
• Demonstrate solid understanding and execution of HR processes and standard operating procedures (SOPs)
• Respond to and resolve employee and manager inquiries using a case management tool, ensuring high-quality service and issue resolution
• Prepare and deliver standard HR correspondence for both internal stakeholders and external parties
• Collaborate with employees, line managers, and HR business partners to support HR operations across the EU region
• Work closely with the wider HR community, including Centers of Excellence (COEs), to ensure cohesive and consistent service delivery

• Support the HR Shared Services team on ad-hoc projects and initiatives as required

• Experience, preferably in a HR Shared Services function supporting European Union
• Preference will be given to candidates with experience and knowledge on HRMS Platforms like SAP and/or Oracle Fusion
• Good IT skills, particularly MS Word, Excel, Outlook
• Fluent English - excellent verbal and written communication skills
• Strong administrative ability, managing a complex and varied workload.
• Previous experience in a front facing customer service role and/or project experience is desirable
• Should be flexible to work in multiple shifts
