Role:

This is a full-time, onsite, Receptionist cum Admin Assistant role in MOE Secondary school.

If you are selected, You will work closely with VP and the AMs /AE and School Leaders(SLs) in an MOE Secondary school (nearest MRT- Seng Kang ) in the day-to-day activities.

Responsibilities:

The Personnel shall provide key front-line and administrative support to ensure the smooth and efficient operations of the school. The scope of services includes, but is not limited to, the following:

1. Provide pleasant and attentive services to members of public stakeholders and members of school, i.e. parents, students etc with their enquiries and requests.

2. Provide timely, accurate and clear communication – both written and verbal – to members of public stakeholders and members of school, i.e. screen and direct calls, take and relay messages, provide required information for inquiries.

3. Attend to sick or injured students who report to the General Office (GO), and notify relevant staff as well as maintain records of sick bay usage. Knowledge of First Aid is preferred.

4. Support the GO staff with administration and operational matters, e.g. organise and sort mails, receive deliveries, assist with recording students’ late coming, checking the completeness of forms submitted to the GO.

5. Keep proper records of keys and lockers issued

6. Keep proper records of lost and found items.

7. Monitor and replenish the First Aid inventory. 8. Complete other duties as assigned by Principal, Vice-Principals, Administration Managers and Administrative Executives.

Job Requirements:

● Minimum 3 years’ experience working as a receptionist or as a personal assistant to management/C-suite personnel, and/or relevant certificates.

● Strong interpersonal skills with ability to interact courteously with visitors and colleagues.

● Basic computer literacy including proficiency in Microsoft Office applications such as Word and Excel.

● Good verbal and written communication skills in English.

● Proficiency in an additional local language (verbal and written) would be advantageous.

● Ability to multitask and manage multiple priorities.

● Ability to work independently with minimal supervision.

You will work closely with HOD/LH-Science and/or Admin Manager in an MOE Primary School (nearest MRT- Punggol) in the day-to-day activities.

Responsibilities:

a. Management of resources

❖ Regular Inventory management in Science Labs including stock-take, replenishing, repairs and replacement

❖ Assist HOD (Science) to liaise with vendors in procurement for inventory

management in Science Labs

❖ Organise resources neatly with name labels in the Science Labs

❖ Assist the teacher to facilitate student discussions

❖ Tidying up of Science Labs

b. Preparation of resources

❖ Co-ordinate loan request from teachers in the Science Labs

❖ Preparing and set up of resources according to scheme of work & specifications given by teachers in the Science Labs

❖ Printing and photocopying jobs in the Printing Room

❖ Preparation of teaching aids such as cutting and lamination works in the Science Labs.

Administrative duties:

• Assist with other ad-hoc administrative duties and preparation of resources for the Authority as required by the school and/or department.

Job Requirements:

● GCE 'N'/’O’ Level Certificate

● should demonstrate knowledge and skills in handling common Lab equipment found in school labs. (eg. Microscope, dataloggers, etc.)

● 1 year of working experience in Primary School Science Lab

● Concierge services – attend to phone calls and walk-in customers (pupils, parents, public, stakeholders)

● Using messaging apps to communicate events and send reminders to parents

● Check generic email everyday and forward them to relevant officers within a certain time frame

● Incoming Mail Correspondence: Record and distribute incoming correspondence upon receipt.

● Articles - Stock take Monitoring: Record and track all articles accurately, then submit to AM for end-of-term verification.

● Calling and confirming the attendance of parent volunteers to help in school events and activities

● General administrative duties including typing, filing, preparation of documents

● Printing of monthly CCA Instructors/Contract Staff attendance records

● Save transport approval (form SG) to a shared folder.

● Ad Hoc Bus Booking Coordinator transport for Students External Activities including

Monthly verification of Ad Hoc School Bus payment

● Filing of documents such as Bus Booking form

● Recording student injuries that occur during school hours through the Unwell/Injured

Student management system and Rendering of First Aid to pupils e.g. issuing of

pupils with plasters

● Assist in packing learning resources i.e. booklet

● Other administrative duties as assigned by supervisor

Job Requirements:

● GCE O Level

● Able to use simple Microsoft applications

● Comfortable with visitors and pupils

● Recording and provision of simple first aid

● The Personnel must have at least 5 year of experience in administration

Customer Service

• Welcome visitors professionally and keep reception area clean and welcoming

• Answer phone calls and help walk-in visitors

• Keep records of phone calls and visitor information

Administrative Tasks

• Handle paperwork, data entry, and letters to staff, students, parents, and suppliers

• Manage incoming and outgoing mail and deliveries

• Do filing, scanning, photocopying, and other office tasks

• Give out keys, stationery, and teaching materials to staff

• Help with school events and programmes

Student Support

• Help students find lost items, get spare uniforms, or locate teachers and classrooms
