Responsibilities

• Supports the crewing department in all aspects of employment administration for seagoing personnel, include checking of monthly crew payroll.
• Maintain an updated list of manning for each assigned vessel and to monitor and follow up closely on rotation plan
• Coordinate and liaise closely with manning agencies, Master, port agencies and travel agencies for the smooth transition of crew for vessels sailing at foreign waters.
• Liaise and coordinate with travel agencies on crew flight bookings.
• Apply for Flag state endorsement for the officers before they join the assigned vessels
• Conduct briefing and/or debriefing of officers as and when required
• Keep track, check and verify all port disbursements incurred by local port agents and manning agencies in relation to crew change
• Check, verify and reconcile the monthly accounts prepared by Masters
• Arrange and coordinate timely CTM as and when required.
• Assist to verify crew benefits, leave pay, bonus and allowance
• Keep track, monitor and update crew’s personnel and training records, ensure all crew has all the essential training certificates, medical reports, visas, sea time records to meet matrix requirement
• Any other duties as and when assigned.

Requirements:

• Diploma holder, with relevant experience in shipping industry
• Experience in using DNV GL Ship Manager system is an added advantage

Responsibilities

• Handle full spectrum of export shipping and bank documents. Deal with freight forwarders, customers/ suppliers / banks to ensure accuracy & compliance in shipment documentation to facilitate smooth delivery/clearance of export shipments. Negotiate and review freight rate to achieve cost competitiveness. Centralize the shipping function and being the key contact person for all export shipping matters in the company
• Ensure all vendors are selected and assessed based on the ability to meet product quality, negotiates with vendors the best price, terms and conditions. Ensure the goods are purchased and received accurately in accordance to CSO. Work closely with sales and project team to meet customer/project delivery dateline.
• Responsible for preparation and handling of full set of export shipping and documentation promptly and accurately.
• Develop reliable alternative sources of forwarders to meet organization requirements and cost competitiveness as and when the need arises.
• Ensure the goods are purchased promptly upon CSO and received accurately and able to meet customers delivery dateline.   
• Negotiate with all suppliers for best price for every purchase order, terms & conditions.   
• Liaise with sales team to provide monthly shipping schedules for export and arrange/coordinate with logistics to provide packing details to book vessel. Prepare full set of export shipping documents (includes L/C, Form D/Form E etc.) promptly and accurately accordingly to customer requirement.
• Close follow up the ship date with suppliers and update the vessel arrival date to respective departments (project and sales) and ERP system to ensure timely delivery / export to customers upon shipment arrive.
• Sources and evaluate forwarders to meet organization requirements, in term of service, reliability and cost competitiveness.
• Resolve issues/complaints/discrepancies/claims on all Import and Export shipment matters.
• Counter negotiate for the best price from costing's quotation for all confirmed sales orders (CSO).
• Process Material Requisition (MR) and Purchase Orders (PO).
• Ensure the goods are purchased promptly upon CSO, monitoring the orders readiness date/ship date. Process Goods received note (GRN) upon arrival within dateline.
• Verify import and export freight invoice against quotation to ensure billing is done correctly and perform freight adjustment to the ERP system to meet month end closing.
• Maintain ISO procedures, documentation, record, report and filing. 
• All other ad-hoc duties / project as assigned.

Requirements:

• Min Bachelor's Degree or equivalent             
• Minimum 2–3-year relevant experience
• Hands on experience in using ERP/Dynamic 365 Business Central
• Good working knowledge in shipping incoterms and experience in L/C negotiation is a must.

Role Overview

As the Supply Chain Manager, you will be the backbone of our client's cold-chain operations. Our business isn’t just about moving food; it’s about the precision of "Just-in-Time" delivery to vessels that are often on tight schedules and moving targets. You will oversee the end-to-end lifecycle of frozen provisions—from strategic sourcing and warehouse climate control to complex last-mile maritime logistics.

Key Responsibilities

1. Strategic Sourcing & Procurement

• Identify and vet global and local suppliers for high-quality frozen proteins, produce, and specialty marine provisions.

• Negotiate high-volume contracts to ensure price stability in a volatile commodity market.

• Monitor global food trends and seasonal availability to maintain a robust "vessel-ready" inventory.

2. Cold-Chain & Inventory Management

• Manage specialized cold-storage facilities, ensuring strict adherence to temperature protocols (typically -18°C or lower).

• Implement rigorous FEFO (First-Expired-First-Out) inventory strategies to minimize waste and ensure food safety.

• Oversee regular audits and quality control checks to meet international maritime food safety standards (HACCP/ISO 22000).

3. Maritime Logistics & Coordination

• Coordinate seamless delivery schedules with ship agents, port authorities, and "last-mile" barge operators.

• Navigate the complexities of customs clearance and international health certifications for vessels entering different jurisdictions.

• Solve real-time logistical puzzles, such as rerouting deliveries when a vessel’s ETA changes or a port call is canceled.

4. Performance & Technology

• Leverage ERP and Supply Chain Management software to track KPIs: Order Accuracy, Lead Time, and Freight Cost per Ton.

• Identify opportunities for automation within the procurement-to-pay cycle.

Required Qualifications & Skills

5+ years in Supply Chain Management, specifically within Cold-Chain, FMCG, or Marine Logistics.

Education

Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.

Technical Savvy

Proficiency in ERP systems (SAP, Oracle, or specialized Marine software) and advanced Excel.

Compliance

Deep understanding of food safety regulations (HACCP) and maritime customs procedures.
