Reporting to the GM, the Operations Executive/ AM’s primary responsibility is to oversee and ensure smooth day to day operations of the company, and support the company to hit growth targets and sales goals.

Job Responsibilities:

Inventory

• Update, maintain and keep accurate inventory records in system on a consistent basis.
• Monitor stock depletion and manage weekly stock withdrawals from external (bonded) warehouse and propose purchase requisition from suppliers to ensure optimal stock level at all times.
• Process internal stock transfers.
• Verify the accuracy of stock movements by conducting detail audits of the inventory on a regular basis.
• Report stock loss/ damage; investigate inventory errors and reconcile stock discrepancies in a timely manner.
• Track goods returns, investigate all the potential causes and suggest corrective measures for improvement.
• Oversee quarterly stock take.
• Work closely with warehouse team to create and implement effective inventory control procedures.

Warehouse& Logistics Operations

• Oversee daily business operations and addressing operational issues.
• Supervise warehouse and logistics team, including fleet and warehouse management, and backup when required.
• Responsible for enforcing company policies and procedures within the office.
• Liaise with different departments to improve performance and work efficiency.
• Evaluate current work processes and recommend improvements.
• Develop and maintain standard operating procedures and operational guidelines for staff.
• Educate operations team on best practices ,company policies and service excellence standards.
• Ensure warehouse and fire safety are compliant with government regulations.
• Oversees warehouse/logistics equipment, property management and maintenance.
• Support the Sales and Marketing team in implementing activities and event-related operational requirements.
• Generate operational reports for management as needed.
• Other ad-hoc duties assigned.

Key Responsibilities

• Process purchase orders in the ERP system accurately and with proper approval.
• Check and compare 2 to 3 quotations, and flag any issues.
• Follow proper process controls and avoid direct vendor involvement.
• Keep all quotations, purchase orders, and approvals properly documented.
• Monitor PO turnaround, vendor usage, and pricing trends.
• Flag suspicious purchasing patterns or possible compliance issues.
• Carry out other ad hoc duties or special projects as assigned.
