Responsibilities:

• Administer and manage both pre-contract and post-contract activities, ensuring compliance with contractual requirements and project objectives.

• Liaise and coordinate with clients, consultants, contractors, and relevant stakeholders on contractual and commercial matters.

• Prepare cost estimates, project budgets, and cost plans to support project feasibility and financial control.

• Monitor and control project costs, ensuring expenditures remain within approved budgets.

• Prepare, evaluate, and negotiate quotations, tenders, and subcontractor proposals.

• Manage and prepare Variation Orders (VO), including cost analysis, valuation, and submission to clients for approval.

• Review contract documents, specifications, and drawings to identify contractual obligations, risks, and opportunities.

• Prepare and submit progress claims, payment certifications, and supporting documentation.

• Prepare, negotiate, and finalize Final Accounts with clients, consultants, and subcontractors.

• Maintain accurate contract records and documentation, ensuring timely reporting and proper filing of contractual correspondence.

Requirements:

• Degree/ Diploma in Quantity Surveying / Construction Management
• Proficiency in Microsoft Office, Project and Autocad
• 1 - 3 years working experience in Aluminium & Glazing Works

Role Overview:
We are seeking a proactive and detail-oriented Estate Executive to oversee the daily operations and maintenance of property. Reporting to the Estate Manager, you will ensure the property is maintained to the highest standards while managing administrative, financial, and contractor-related functions.

Key Responsibilities:

Estate Maintenance: Oversee all upkeep activities and conduct thorough, routine inspections of common areas to ensure effective management and aesthetic excellence.

Operational Support: Execute full maintenance, administrative, and financial functions under the supervision of the Estate Manager.

Contractor Management: Liaise with and supervise onsite contractors and vendors. Verify that all service delivery meets contract requirements, schedules, and agreed KPIs.

Administrative Oversight: Manage the submission of monthly maintenance schedules, quotations, claims, and invoicing.

Procurement: Obtain competitive quotations for repairs and services. Raise Purchase/Work Orders and track the progress of defect rectifications and damage repairs.

Incident Response: Attend to emergencies or onsite incidents promptly in accordance with established SOPs and response times.

Resident Liaison: Professionally address resident feedback and complaints, ensuring every case is recorded, tracked, and resolved to satisfaction.

Ad-hoc Duties: Support the Estate Manager and HQ Management with urgent onsite tasks or exigencies as required.

Requirements:
Proven experience in Estate Management or a similar facilities management role.

Strong organizational skills with the ability to manage multiple administrative and financial tasks.

Excellent communication and interpersonal skills for resident and vendor engagement.

Language Proficiency:

Proficiency in English and Mandarin (Chinese) is required to effectively communicate with Chinese-speaking residents and stakeholders.

Ability to work independently and respond effectively to emergencies.

Job Summary

You will support project and contract management by preparing and submitting progress claims, managing contractual matters, and coordinating with consultants and subcontractors to ensure accurate cost control and contract compliance.

Responsibilities

• Submit Main Contracts Progress claims with approval from Senior Contracts Manager, Contracts Manager, or Project Manager to ensure timely payment processing
• Assist Project Manager and Contracts Managers in managing contractual matters, including variation claims and extension of time (EOT) claims, to mitigate project risks
• Solicit quotations and prepare cost comparisons for review by Project Manager and Contracts Managers to support informed procurement decisions
• Liaise with Consultants’ Quantity Surveyors to resolve discrepancies in contract documents and disputes with subcontractors, ensuring contract compliance and dispute resolution
• Monitor and verify quantity status of material stock, Main Contracts Progress Claims, and payment claims from subcontractors, suppliers, and vendors to maintain accurate project cost tracking
• Determine material quantities required for ordering to support project execution and cost efficiency
• Prepare final accounts for subcontractors and vendors to facilitate contract closure and financial reconciliation
• Collaborate with Senior Contracts Manager and Contracts Manager to prepare contract documents for Main Contracts and Subcontracts, ensuring contractual accuracy and completeness
• Compile petty cash claims and submit to HR department for approval and payment to maintain financial accountability

Preferred competencies and qualifications

• Degree in Quantity Surveying or a related field such as Construction Management or Civil Engineering
• Minimum 3 years of experience as a Quantity Surveyor in the construction industry, preferably in Singapore
• Proficiency in quantity surveying software (e.g., SMM7, CostX) and Microsoft Office Suite
• Basic knowledge of Singapore building regulations and contract forms

• Completed Fire Safety Manager Course
• Immediate availability is highly recommended.
• Attend and prepare the annual General Meeting / EOGM/ Council meeting for the site.
• Experience as Property Officer in charge of Managing agents
• Ensure that all fire and safety equipment in an establishment is in good shape always.
• Make sure that there are well-developed plans for easy evacuation of people in a building in the case of a fire outbreak.
• Conduct fire safety checks from time to time.
• Enforce safety codes and regulations/ guidelines within a particular organization.
• Carry out training and enlightenment of co-workers or employees as regards general fire safety rules and procedures.
• Address any form of violation of safety codes within the organization.
• Investigate and implement appropriate disciplinary action on violators of safety codes within the establishment.
• Plan or organize routine fire safety checks/ inspections which usually cover the assessment of fire hazards, as well as ensure the safety of properties.
• Immediate availability is highly recommended.

Requirements:

• Certification in Fire Safety Manager Course
• Fresh Graduate are welcome
• Good knowledge of BSM Act.

Key Responsibilities
