Admin Executive ( 5 days per week )

Responsibilities:

General Administration:

• Manage daily office operations and provide administrative support to staff.
• Organize and maintain filing systems, both electronic and paper based.
• Assist the Management in performing manpower recovery every month. Generate monthly report from SAP for the Management to analyze the parameters for continuous improvement in our process and productivity

Invoice Management:

• Review and verify the accuracy of invoices and payment requests.
• Coordinate with the finance department to ensure timely processing of invoices.
• Maintain records of all financial transactions and documentation.

Purchasing:

• Procure office supplies and equipment as needed, ensuring cost-effectiveness.
• Establish and maintain relationships with vendors and suppliers.
• Monitor inventory levels and reorder supplies when necessary.

Asset Tracking:

• Maintain an updated inventory of office assets, including furniture, equipment, and technology.
• Track asset usage and ensure proper maintenance and care.

Information Dissemination:

• Act as a point of contact for internal communication, distributing information to staff as needed.
• Prepare and distribute company-wide announcements, memos, and reports.
• Assist in onboarding new employees by providing necessary information and resources.

Requirements:

• Higher Nitec or Diploma/ Degree in any discipline
• Knowledge of Excel and other data management software
• Technical background and/or Services background to support the customer requirement
• Team player and able to multi-task efficiently
• Self-starter and result-oriented with strong analytical skills
• Innovative and proactive.

JOB DESCRIPTION:

• Handle general administrative tasks, including phone enquiries, office stationery, office maintenance, and attendance checking via the time management system
• Prepare and manage staff petty cash claims
• Provide clerical and administrative support to the team
• Maintain proper filing systems and keep records up to date for easy retrieval
• Assist in preparing supplier payments
• Assist in preparing documents for audit
• Perform other ad-hoc duties as assigned by the management

JOB REQUIREMENT:

• Min GCE ‘O’ Level or equivalent
• Minimum 2 years of relevant experience in main contractor companies
• Proficient in Microsoft Office
• Strong interpersonal and communication skills
• Positive working attitude and a team player
• Able to commence work within short notice

Proficiency in Microsoft Words & Excels.

Able to handle Partial of Accounts.

Calculate workers' salaries.

Able to handle and apply MOM Foreign Workers' Work Permit, S Pass & E Pass Application, Cancellation and Renewals.

Able to handle Administrative duties.

• Manage Work Permit application, renewal and cancellation.
• Handle and update local employees and foreign workers related matters.
• Liaise with management level on foreign workers arrangements.
• Prepare monthly timesheet calculation and salary.
• Check and order uniforms, PPE, hardware, cleaning tools and stationeries.
• Perform others administration duties and ad hoc.

Administrative and Accounting Support Duties

- Greet and Support Visitors.

- Registration of Students and Parents Agreements

- Communication with Parents

- Invoicing Fees and collections

- Bank Statement Reconciliation

- Submit fees collections and expenses using Quick Books, working with our Accounting Agency. Knowledge of Quick Books will be an advantage (training will be provided)

Parent Support Group (PSG)

- Assist in engaging Parents in PSG events (Tea, Talks etc)

- Understand Parents Pain Points and Advocate for them
