Reporting to the Head of Operations, the

Logistics Admin cum Route Planning Executive

is responsible for Inventory Management, including the movement of inventory from Inbound, Storage and Outbound. To ensure that established Inventory Management processes are followed both in the ERP/WMS systems and physical process. Constant review existing processes for improvements or establish new processes based on business needs

Job Description

·       Responsible to ensure and monitor established processes are followed for Stocks Receiving(Inbound/Returns/Put-Away) both in the ERP/WMS systems and physical process

·       Ensure all Inbound shipments are monitored once Purchase Orders are issued and to coordinate with shipping agents/transporter for the trucking in/out of containers

·       Responsible to ensure and monitor established processes are followed for the tracking of stocks movements(Storage/Transfer/Replenishment/Picking/Packing/Outbound) both in the ERP/WMS system and physical process

·       Responsible to ensure and monitor through the generation of stocks ageing reports to alert expiring and slow-moving stocks as well as to conduct cycle count to investigate and address stock variances

·       To lead warehouse value added services requirements for co-packing, repacking, labelling, frozen thaw etc.

·       Responsible for WMS system Bin maintenance/creation, reporting and generating of WMS reports on throughput/storage capacity/storage period

·       Ensure the proper upkeep of related documentation and filing, including the posting of inventory transactions into the ERP/WMS systems

·       Other assignments that may be required by HOD. 

Requirements
Tofunction well, this position requires:

·       Min. Diploma in Logistics/Supply ChainManagement and or,

·       Min. 5 years of experience in related field,preferably F&B Operational related role.

·       Possess positive attitude and initiative

·       Ability to lead and work well as a team

·       Possess good communication skills – both written and verbal

The Logistics Admin cum Route Planning Executive is responsible to ensure that agreed expectations are established and achieved.  Heads of Departments will use the evaluation instruments that are relevant to their departments for this evaluation.

Work location: Bedok

Working hours: Mon-Fri (11am to 8pm) & Sat (9am to 1pm).

• Provide comprehensive secretarial and administrative support to senior management, managing schedules, priorities, and daily executive operations with a high level of discretion.
• Serve as the primary contact for the executive office, coordinating with board members, investors, senior management, and external stakeholders.
• Prepare and manage executive communications, presentations, and materials, as well as organize board meetings and corporate engagements.
• Support talent acquisition and HR-related initiatives, including sourcing, recruiter coordination, onboarding, and special confidential projects.

Requirements:

• Diploma or Degree in Business Administration, Human Resources, or equivalent.
• At least 5 years of experience in executive support, office management, or HR administration, preferably supporting senior leadership.
• Hands-on exposure to recruitment processes and familiarity with Singapore employment practices.
• Highly organized, professional, and independent, with strong communication skills and the ability to operate in a fast-paced environment.

Responsibilities:​​​​​​​

• Serve as the primary point of contact for customer enquiries via phone, email, Live Chat, WhatsApp, and walk-in channels, ensuring prompt and professional service delivery.
• Manage spare parts forecasting, procurement coordination, and usage tracking to maintain optimal inventory levels and minimize stock discrepancies.
• Liaise closely with factory and internal stakeholders to ensure timely replenishment and accurate order fulfilment.
• Oversee grading operations, including parts extraction and systematic stocktaking activities.
• Ensure accurate monthly invoicing for spare parts sales in accordance with company policies and timelines.
• Prepare and submit weekly operational reports to Management and monthly reports to the Business Unit (BU).
• Maintain and administer the CRM system, including serial number database updates and model code configuration during new product launches.
• Drive continuous improvement initiatives, including CRM platform enhancements and process optimization.
• Manage spare parts packing for customer delivery and self-collection, ensuring accuracy and compliance with documentation requirements.
• Conduct periodic office spare parts inventory audits to ensure data integrity and inventory accuracy.

Requirements:

• Diploma in Business Administration or related discipline.
• Minimum 2–3 years of relevant experience in spare parts management, aftersales support, or CRM administration.
• Proficiency in Microsoft Office applications (Excel proficiency preferred).
• Strong analytical skills with attention to detail and accuracy.
• Excellent communication and stakeholder management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Continuous improvement mindset with strong problem-solving capability.
