DUTIES & RESPONSIBILITIES : 

• Manage, mentor and coach the Customer Service team(all branches) with the team lead and other team members to achieve quality and productivity for optimal customer experience

• Continuously train and upskill existing and new Customer Service team, management team, stylists,and hair assistants to provide actionable feedback with meaningful career progression in the team.

• Recruit and structure the Customer Service team to ensure proper manpower support and thoughtful people’s management for sustainable development of the team

• Collaborate with the senior management team to share latest customer insights on the ground and provide suggestions on designing & curating the best user experience.

• Experienced customer service enthusiast – you’ve racked up at least 5 years of experience in bringing happiness to customers, with Customer Service team management experience. Experience in recruiting and building up a team with proper QA & training structure

JOB PURPOSE

To provide excellent and effective duties / administrative support to the Corporate Management - Office & Facilities Management, thereby contributing to the smooth backend operations of Singapore Red Cross Society.

PRINCIPAL ACCOUNTABILITIES

1. Operations

• To provide administrative paperwork support in the daily operation of the Admin Department.
• To manage the Office Management’s Assets Tagging and Tracking.
• To facilitate Stationery, Toilet and Pantry Orders and Distribution.
• General upkeep of the office.
• Oversee the schedule and duties of the Cleaner.

2. Administration

• Assist in tracking and renewal of contract with OM & FM Teams.
• Processing of monthly bills of the Society.
• Assist with procurement of general office supplies/purchase.
• Provide general administrative support whenever required.
• Data entry.

3. Any Other Duties

• Participate in Society events/activities, which occasionally occurs on weekends.
• To cover banking and reception duties in Receptionist’s leave of absence and meal hours.
• Work closely with Admin volunteers.
• Any other duties, as and when required.

JOB SPECIFICATION

Qualifications

• Minimum Diploma, preferably in the field of Administration or equivalent.

Experience

• Preferably with 1-3 years of relevant experience in general administrative duties.

Additional Skills & Knowledge

• Good knowledge in G-Suite will be an advantage
• Responsible, dedicated and hardworking
• Possess initiative and meticulous in work
• Good organisational skills and ability to multitask
• Good interpersonal skills, initiative and able to work independently and as part of a team

Job Summary

Provide administrative and personal assistant support to the Director, including coordinating schedules, meetings, events, and travel. The role also supports budget tracking and financial processes for the division and Healthier SG programmes.

Responsibilities

• Provide personal assistant support to the Director (calendar, coordination, admin tasks)
• Organise and support meetings, events, and travel arrangements
• Assist with budget tracking and financial administration for the division
• Support financial processes and reporting for Healthier SG programmes

The Opportunity

• Monitor and manage the end-to-end lifecycle of both external and internal third-party contracts, including identifying and investigating any misalignment between payments and contract status.
• Do trend reviews of Supplier Performances and escalate to stakeholders and senior management of potential breach. For example, performance dashboards, governance oversight, intercompany contract activity.
• Partner with Resilience Risk and Third Party Risk Management to proactively manage and improve ageing metrics that reflect the third-party risk and control environment.
• Conduct regular reviews, quality assurance and audits of the MAS Third Party Register 
• Provide first-line support to internal users on Third Party Due Diligence platforms
• Independently manage interactions with Engagement Managers and offshore teams to manage lifecycle management of arrangements undergoing due diligences.
• Support the Third Party Management team on change projects on operationalization of policy changes,
• Support the Third Party Management team (via project managing) implementation of global and local mandates and initiatives.

The Talent

• 5 to 8 years of experience in Third Party Management, Resilience Risk background
• Advance level of proficiency in the use of MS office tools skills Excel, Powerpoint
• Experience in using data visuals such as Qliksense and Tableau
• Knowledge of platforms such as Coupa, Appian and ServiceNow would be an added advantage
