Your new role

Job Responsibilities:

• Collaborate with user departments to gather necessary information for furniture and equipment procurement.

• Ensure compliance with procurement policies throughout the entire procurement process.

• Lead strategic sourcing initiatives for services and non-medical supplies, establishing timely contracts to ensure a steady supply.

• Serve as the procurement co-lead alongside the management team, guiding the evaluation committee in assessing proposals from vendors and service providers.

• Contribute to value addition through effective negotiation and innovative sourcing strategies.

• Act as secretary for the IGH Programme Office, managing meeting agendas, administrative tasks, accurate record-keeping, and coordination of meetings and presentations.

• Provide administrative support to promote the integration of AI and digital tools, fostering a digital-first approach among team members.

Requirement:

• Relevant degree from an accredited institution.

• Proven experience in procurement and supply chain management

• Strong organizational skills with the ability to manage multiple projects and meet deadlines.

• Proficiency in digital tools and a keen interest in leveraging technology for process improvement.

Responsibilities

• Lead and coach a team of Procurement Executives by overseeing daily operations, advising on complex purchasing matters, and supporting staff performance as well as professional growth.
• Drive ongoing enhancements to procurement SOPs by improving workflows within Microsoft Dynamics 365 Business Central to strengthen system usage and improve data accuracy across the department.
• Act as the key custodian for procurement governance and audit preparedness by reviewing tender documents, evaluation reports, and waiver submissions to ensure compliance with internal policies and external audit requirements.
• Serve as the senior liaison for Clinical and Nursing teams, ensuring procurement strategies are aligned with operational priorities and budgetary considerations.
• Oversee the sourcing of medical consumables, surgical supplies, PPE, and related services, ensuring all purchases comply with healthcare regulatory requirements.
• Manage the end-to-end purchasing process in Microsoft Dynamics 365 Business Central, including raising Purchase Orders, maintaining vendor records, and archiving completed transactions for audit purposes.
• Track clinical inventory levels and leverage system data to establish accurate reorder points, reducing wastage while preventing shortages of essential medical supplies, including processing Goods Received Notes in the ERP system.
• Ensure strict adherence to healthcare procurement procedures by verifying that purchases are supported by the required quotations and assisting with audit documentation and reporting.
• Negotiate with suppliers of medical devices and consumables to secure competitive pricing, dependable lead times, and consistent quality standards through regular vendor performance reviews.
• Act as the link between procurement and clinical or nursing departments to streamline stock requests and resolve invoice or delivery issues efficiently.
• Support project owners throughout the tender lifecycle, including preparing RFPs and ITTs, developing standardized evaluation criteria, ensuring compliance with governance frameworks, and supporting the shift toward digital tendering platforms for greater transparency and efficiency.
• Partner closely with finance teams to monitor procurement costs and inventory spending, identify process improvements, address audit findings, and jointly optimize the Business Central system for operational and financial efficiency.
• Deliver excellent service to internal stakeholders by understanding their requirements and recommending cost-effective or alternative products and services where appropriate, while collaborating with both internal teams and external vendors to improve service delivery, processes, and projects.

Requirements:

• Degree in Supply Chain Management, Business, or a related field.
• At least 3 years in Healthcare Procurement, with at least 1–2 years in a supervisory or senior capacity.
• Hands-on experience with Microsoft Dynamics 365 Business Central (Modules: Purchasing, Inventory, and Vendor Management) will be a plus.
