About the role

Waynum Hardware Sdn Bhd is seeking an experienced Account Assistant to join our team in Pasir Gudang Johor. This full-time position will be responsible for providing comprehensive accounting support to ensure the smooth and accurate financial management of the company.

What you'll be doing

• Maintaining accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger
• Preparing and processing invoices, payments, and receipts in a timely manner
• Reconciling bank statements and other financial accounts on a regular basis
• Assisting with the preparation of financial reports, budgets, and projections
• Providing administrative support to the finance team as needed
• Ensuring compliance with all relevant accounting standards and regulations

Job Responsibilities:

• Generate Sales Invoice via ESnD system and print.
• Perform posting of Sales Invoice and Credit Note via SQL system.
• Cross check daily Sales Invoice vs excel sheet.
• Compile Sales Invoice for filing and records.
• Do checking SQL on Sales Invoice and Credit Note, those running number misplaced need to reprint.  
• Perform ESnD month end closing.
• Key in stock return data due to expiry or damage stock into ESnD and SQL system.
• Generate monthly stock expiry report to FNBM.
• Check and file all Delivery Order (red copy) included misplaced copy.
• Ad hoc tasks delegated from the supervisor or Management as and when required.

Job Description:

• Create invoices on a day-to-day basis, including reviewing, classifying, calculating, posting, and entering invoices into the system.
• Scanning of invoices into folders and filing of invoices
• Mailing and emailing invoices to respective customers within the specified deadline
• Recording and tracking of incoming payments
• Reconciling accounts receivable ledger to ensure all payments are accounted for and properly recorded.
• Sending out monthly Debtors' Statements and emailing to respective customers
• Provide monthly Debtors' Aging Reports to management
• Resolve discrepancies in invoices and payments
• Maintain accurate and up-to-date records of customer accounts
• Knowledge of accounts payable is an added advantage
• Any other ad hoc task

Requirements:

• Minimum Diploma / Degree in Accounting, Finance, or related field
• At least 1–2 years of experience in Accounts Receivable or general accounting (fresh graduates are encouraged to apply)
• Able to handle daily invoice processing including reviewing, classifying, calculating, posting, and system entry
• Familiar with document scanning, filing, and proper record-keeping of invoices
• Able to prepare and send invoices to customers via mail/email within deadlines
• Experience in recording and tracking incoming payments accurately
• Knowledge in accounts reconciliation, especially Accounts Receivable ledger
• Able to prepare monthly Debtors’ Statements and Debtors’ Aging Reports
• Good problem-solving skills to resolve discrepancies in invoices and payments
• Detail-oriented, responsible, and able to maintain accurate customer account records
• Basic knowledge of Accounts Payable will be an added advantage
• Proficient in Microsoft Excel and accounting systems/software

Account Payables

• Handle invoices and maintain proper filing.
• Update and manage administrative accounting tasks.
• Double check details in cheques received are correct before banked in, arrange bank in for post-dated cheques.
• To generate supplier’s aging report, check completeness of documentation.
• Assist in process Principal’s payments, claims.
• Extract and tally Principal’s Claim Report with EPI Aging.
• Extract Credit Note from SQL, Issue DN for subsidized items. Prepare Excel Worksheet before process payment
• Process Transporter record calculation

Account Receivables

• Check & ensure daily Cash collected tally with record (Backup)
• Send Reminder Letter to Customers by Post
• Prepare Credit Note to Principals

General Ledger

• Prepare Journal Entries – Hire Purchase Interest, Term Loan Interest, fixed deposit interest
• To perform any ad hoc assignment as may be required by Management.

REQUIREMENTS:

• Possess at least a Diploma/Degree in Accounting or equivalent.
• Have comprehensive understanding of financial services functions and general accounting knowledge and experience.
• Minimum 2 years working experience with financial accounting.
• Able to work independently with minimum supervision.
• Computer literate, and proficient in Microsoft Excel and SQL Accounting system etc.
• Good communication and interpersonal skills.
