This position reports to the Logistics Manager and will be trained to analyze inventory data to support effective inventory management, cost control, and operational decision-making. He/she will learn to ensure data accuracy across ERP systems, monitors inventory performance, identifies trends in consumption, excess, and obsolescence, and learn to deliver actionable insights through reports and dashboards. Exposure working cross-functionally with operations, materials, warehouse, and finance teams to improve inventory health, data integrity, and compliance with internal controls and audit requirements.

Learning Outcomes:

• Inventory Performance Analysis: Analyze inventory data across raw materials, WIP, and finished goods to monitor turns, DOS, accuracy, and inventory health (active, slow, excess, obsolete).

• Data Extraction & Validation: Extract inventory and transaction data from SAP / ERP and BI tools; validate data accuracy, completeness, and alignment with physical inventory and cycle unt records.

• Cycle Count & Variance Analysis: Support cycle count and physical inventory processes by analyzing variance trends, identifying root causes, and highlighting repeat discrepancies for corrective action.

• Excess & Obsolete (E&O) Reporting (Warehouse Storage): Exposure working with MA on regular E&O reports, identify aging inventory risks, and learn to propose data-driven mitigation actions such as usage, reallocation, or disposition and identify Warehouse Storage recording

• Dashboard & Reporting Development: Develop and maintain inventory dashboards and standard reports using Excel, Power BI, or similar tools to support management decision-making.

• Inventory Cost & Warehouse cost Analysis: Support financial analysis related to inventory valuation, material absorption, and inventory warehouse Cost impact by providing accurate and timely data insights.

• Process Improvement & Data Standardization: Identify gaps, inefficiencies, or data inconsistencies in inventory processes and collaborate with planning, warehouse, and finance teams to improve data integrity and process robustness.

• Audit & Compliance Support: Provide inventory data, analysis, and documentation required for internal and external audits, including SOX, inventory waivers, and compliance reviews.

• Cross-Functional Collaboration: Work closely with Production Control, Materials Planning, Warehouse, Finance, and Operations teams to align inventory data insights with operational and business objectives.

We are seeking a proactive and detail-oriented Procurement & Sales Support Executive to manage global sourcing,supplier relationships, procurement activities, and export customer coordination for our food and pet food business. The successful candidate will ensure the timely and cost-effective procurement of products while supporting export sales operations and maintaining strong relationships with local & overseas customers and distributors.

Key Responsibilities

Procurement & Supplier Management

• Source and procure food products, pet food products from local and international suppliers.
• Identify, evaluate, and develop new suppliers to ensure supply continuity and competitive pricing.
• Negotiate pricing, payment terms, contracts, and delivery schedules.
• Monitor supplier performance, quality standards, and delivery reliability.
• Resolve procurement, quality, and supply-related issues with suppliers.

Logistics & Supply Chain Coordination

• Coordinate with suppliers, freight forwarders, shipping agents, and customs brokers to ensure smooth import and export operations.
• Manage purchase orders, shipment schedules, and inventory replenishment.
• Monitor lead times and maintain adequate stock levels to support production and customer demand.
• Ensure timely delivery of goods while optimizing freight and logistics costs.

Food Safety & Regulatory Compliance

• Ensure all purchased products and materials comply with food safety, quality, and pet food regulatory requirements.
• Maintain supplier certifications, product specifications, and compliance documentation.

• Ensure compliance with applicable international trade regulations and import/export requirements.

Export Sales Coordination & Customer Support

• Coordinate export orders and shipment schedules with overseas distributors, importers, and customers.
• Follow up on customer forecasts, purchase plans, and inventory requirements.
• Respond to customer inquiries regarding product availability, pricing, lead times, and shipment status.
• Support business development activities by maintaining strong relationships with international customers.
• Assist in resolving customer complaints and supply-related issues.
• Gather customer feedback and market intelligence to support business growth.

Reporting & Cost Management

• Monitor procurement spending and identify cost-saving opportunities.
• Analyze supplier and customer performance metrics.
• Prepare procurement, inventory, and sales coordination reports.
• Track market trends affecting ingredient costs, supply availability, and customer demand.

Qualifications & Requirements

Education

• Diploma in Supply Chain Management, Procurement, Business Administration, Food Science, Logistics, International Trade, or a related field.

Experience

• Minimum 2 years of experience in procurement, sourcing, supply chain, export sales coordination, or related functions.
• Experience in the food, pet food, FMCG, ingredients, manufacturing, or trading industry is preferred.
• Familiarity with international sourcing and export operations is an advantage.
