Role purpose of the Business Acceptance Unit

• To process requests from partners for A&O to accept new legal matters including, in particular, performing anti-money laundering and background checks on new clients and performing conflicts checks (within internal databases) on each new matter (for both new and existing clients);
• To obtain from relevant lawyers required evidence of identity for new clients (and existing clients for whom the practice has done no work in the preceding two years and whose ownership or control may therefore have changed in the intervening period);
• To screen and, where requested, send conflict search emails (containing information on new legal matters) to all partners and to monitor responses, analyse search results and, in consultation with the originating lawyers, determine whether or not the new legal matter is clear of conflicts and appropriate for the practice to take on;
• To authorise the opening of new legal matters when checks have been completed and any issues or problems satisfactorily resolved;
• To facilitate resolution of legal conflict issues in consultation, where appropriate, with A&O senior management;
• To facilitate resolution of business conflict issues in consultation with relevant partners/senior lawyers including, if necessary, A&O senior management;
• To determine the need for information barriers to enhance the internal security of information and to facilitate them being established to meet the requirements of the situation;

Role and responsibilities

The core components of this role include but are not limited to:

• Taking responsibility for individual new legal matter requests submitted by partners via an online business acceptance system and then monitoring the progress of such requests to conclusion.
• Analysing the information submitted by lawyers and others in new legal matter requests.
• Applying relevant laws, regulations and A&O compliance policy to new legal matter requests covering varied and wide-ranging work types and commercial circumstances.

The Senior Specialist Analyst is responsible for leading business requirements gathering and documentation, performing requirement and system analysis, design user-centered solutions that align to our standards and ensure intuitive, accessible, and seamless experiences for all users, performing testing, assisting in the quality assurance process, and managing user acceptance testing. This role will reside in the IT Product Direct-To-Consumer Team, working with IT and business departments across the organization to gather and understand the detailed & complex requirements.

Work with other Product Owners and Scrum Teams members to support the execution of those requirements.

Job Duties:

• Understand the business needs across numerous departments as well as end-to-end IT process.
• Develop and maintain Stakeholder management and Scope management.
• Lead interview sessions and requirements gathering meetings with stakeholder groups in order to perform effective analysis of the business’ needs and requirements.
• Oversee and collaborate with broader project and IT teams to ensure understanding and acceptance of the business requirements.
• Understand current state business processes, identify enhancement opportunities, negotiate changes across business and technology teams, and deliver as-is and future state process documentation.
• Develop and deliver appropriate material to communicate business requirements including, but not limited to, a Backlog of User Stories, Gap Analysis, Data Mapping, Wireframes/Prototypes, User Flows and Report Templates and Requirements Templates.
• Develop and distribute User Acceptance Test (UAT) Plan, including test scenarios, coordinate and manage user acceptance testing.
• Conduct user research, including interviews, surveys, and usability testing, to inform design decisions.
• Lead/Mentor other Senior Specialist Analyst fostering skill development and knowledge sharing.

Knowledge, skills and abilities:

• Bachelor’s Degree, related to computer information systems or equivalent.
• 5+ years of relevant Business Analysis experience, including leadership experience in Business Analysis.
• 5+ years of relevant experience in the Insurance industry.
• Strong understanding and experience in the Waterfall and Agile (Scrum) Software Development Life Cycle (SDLC) framework.
• Strong analytical and project management skills, including a thorough understanding of how to interpret customer business needs and translate them into application and operational requirements.
• Knowledge and understanding of Business and Process Analysis best practices, techniques and tools.
• Strategic, analytical and logical thinker with excellent organization skills and proven planning, problem solving, leadership and decision-making skills.
• Excellent written, oral, and interpersonal communication skills.
• Ability to understand and gather complex business requirements, map out technical solutions, and help develop and manage defined timelines.
• Ability to multi-task and adapt to shifting priorities, demands, and tight timelines using analytical and problem-solving skills.
• Ability to work both independently and as an integral member of a team.
• Ability to work collaboratively with business representatives, Subject Matter Experts (SMEs) and technical teams and project managers on development projects during all phases of the SDLC.
• Experience in UX Design and related tools (Figma) and concepts (HTML, CSS) is added advantage.

What you’ll do

The Financial Reporting team strives to be Marketing's centre of excellence for efficient and effective Record to Report (RTR) processes while driving optimization on processes & implementing robust controls to capture accurate business and financial information in accordance and within the framework of accounting policies across all commodities in Marketing entities.

Reporting to the Team Lead – Financial Reporting, the Analyst supports the Accountant in performing the month-end closing and financial reporting activities for the Energy Solutions businesses and works closely with other stakeholders to support the timely delivery of quality data within agreed timelines.

From time to time, the Analyst may be involved in ad hoc finance projects and business initiative and represent Finance Reporting team in providing input to enable the capturing of accurate business and financial information for the RTR processes and will also work closely with Information Management Department to deploy technology to automate finance activities.

Lastly, the Analyst plays an integral role in supporting a continuous improvement culture within Finance.

Performance and Delivery

Drive efficient and effective Financial Reporting

·       The Analyst helps to drive the engine room of the Finance Reporting team, making sure that transactions are appropriately accounted for, perform month end tasksand reconciliations, and duly reported. All this will need to be done within the framework of our financial controls and accounting policies, and the role works closely with Risk, Group Shared Services and the wider Finance teams to formulate, implement and operate robust controls and ensure documentation of key processes within Financial Reporting.

Deliver on-demand information

·       The role plays a key role in making information available on-demand to support commercial decisions and new business initiatives. It works closely with the Finance Business Partners and other stakeholders around the group to determine data requirements and is responsible for managing the systems and processes to capture and deliver them as efficiently and accurately as possible.

·       Supports coordination and collection of performance information from all relevant sources and delivering Monthly Financial Statements and other regular information as required by the Marketing Business, Production Business Units or Group Finance.

·       Manages information through relevant systems, ensuring that data interfaces lead to traceable, reconcilable and well-supported financial information.

·       Workswith the Business Partnering and Corporate teams to design and implement the technical accounting logic to align data streams with business activities from performance and financial reporting perspectives.

Technology transformation

·       Working closely with IM, the role looks to implement technologies that improve control, increase information available for the business and automate transactional activity as much as possible, freeing up the team to add value elsewhere. It needs to think differently about the work Finance does and how it gets done, including the elimination of manual journals and recons as a cost to quality.

·       As we implement new systems, the role needs to establish appropriate processes for defining user needs and managing UAT for the Finance department, ensuring that accounting logic and financial controls are appropriately captured.

Continuous improvement

·       Create ways to measure and manage how well we perform as a team. Amongst the team, this role creates a culture that actively looks to improve workflows and processes, minimizing control weaknesses while increasing speed and accuracy.

·       Optimise links between SAP, Aspect, HFM, Blackline and other systems to ensure information is available as and when required.

·       Design and improve processes around the systems to streamline efforts required to input and extract data.

·       Drive standardisation and automation of processes via continual improvements.

What we’re looking for

Qualifications:

·        Undergraduate degree in Accountancy or business-related subject.

Specific Knowledge requirements:

·        Familiar with using trading systems (Aspect, Veslink) will be highly regarded

·        Excellent Microsoft Word, Excel, and PowerPoint skills

·        Well versed in financial accounting systems such as SAP/Blackline/Hyperion

·        Prior experience in managing shared service center is preferred

·        Familiar with overheads management and intercompany recoveries processes will be preferred

·        Prior knowledge of working in commodity trading and shipping companies will be a plus
