Summary:

• To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
• Reporting and supporting the Executive Director and will work closely with and supporting the principal.
• Ideal candidate from trust consultancy firm, law firm, banking industry or accountancy firm.
• Preferred working experience as legal secretary, trust specialist, corporate secretary.
• Experience in handling trust administrative, legal documents or fund investment are highly preferred.
•  Assist manager in going through legal documents from law firm and reply to outsource lawyer if have any omission.

Job Duties:

1. Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
2. Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
3. Transcript of voice recording of meetings / phone conferences.
4. Draft, review & comments emails / agreements / documents for Executive director’s consideration.
5. Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
6. Monitor and report on regulatory changes and developments.
7. Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
8. Administer and maintain databases / files; renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).
9. Assist in office management.
10. Carry out other ad-hoc tasks / projects assigned by Executive Director

Job Responsibilities

1. File Management and Records Processing

• Review, sort, and organise physical files and court documents
• Identify and segregate duplicate sets of court documents for review and disposal
• Assist with checking, packing, labelling, and movement of files and boxes
• Create and update tracking lists to monitor the status of processed files
• Upload and file scanned documents into IW or other designated repositories
• Support administrative processes related to file closure, records consolidation, and disposal

2. Others

• Perform ad-hoc and additional duties as assigned by the supervisor(s)

Job Requirements

• Minimum GCE ‘N’ / ‘O’ Level or equivalent
• Basic proficiency in Microsoft Office applications (e.g. Excel, Word)
• Detail-oriented with good organisational skills
• Able to handle physical files and perform manual tasks when required
• Able to work independently and as part of a team
