Role Overview
This is a dual-stream HR administration role supporting our APAC offices. You will manage two distinct workforce populations, permanent staff and temporary workers. Each operating through its own process framework and stakeholder team. For permanentstaff, you will work in close partnership with the HR Operations team; fortemporary workers, your primary counterpart will be the Compliance team.
This is a varied, hands-on role with real breadth and scope to grow. The ability tocontext-switch between two different operational rhythms, and build strongrelationships with two distinct internal teams, is central to success in this position.
Key Responsibilities
• Manageend-to-end onboarding for new joiners across APAC including contracts, right-to-work checks, induction scheduling, and system set-up.
• Process employment changes (promotions, salary adjustments, role amendments) accurately and in a timely manner within the HRIS System.
• Administerthe full leaver process, including issuing termination paperwork and conducting exit administration in line with local requirements.
• Maintain accurate and up-to-date employee records in the HRIS, ensuring compliance with data protection requirements in both jurisdictions
• Act as the HR point of contact for monthly payroll inputs across APAC, ensuring all changesare submitted accurately and on time.
• Administer pension contributions, MPF (HK) and CPF (Singapore), and any local scheme enrolments or changes.
• Ensure HRadministration practices comply with employment legislation in APAC.
• Maintain standard operating procedures
• Ensure HR policies are consistently applied across APAC, flagging any instances ofnon-compliance to the HR Operations team and supporting managers with guidance where needed.
• Support the preparation of statutory filings and regulatory reporting as required in each jurisdiction
• Serve as the first point of contact for employee HR queries, escalating where appropriate
• Support HR projects and process improvement initiatives as directed by the HR Manager
• Produce regular HR metrics and reporting for the HR team and management
• Create andmaintain accurate temp worker records in the HRIS system
• Process changes to temp worker assignments (extensions, rate changes, terminations) accurately and in a timely manner within the HRIS system, co-ordinating with the compliance and payroll teams before any system updates are made.
• Ensure tempworker administration practices remain compliant with the relevant employment,contractor, and agency legislation, flagging any risks or discrepancies to the Payrollteam promptly.
• Administer MPF (HK) and CPF (Singapore) obligations for eligible temp workers, ensuring enrolments, contributions, and any changes are handled in line with statutoryrequirements.
• Support the Payrollteam in the preparation of statutory filings and regulatory reporting relatedto the temp worker population in each jurisdiction.
• Act asfirst-line contact for temp worker HR queries, triaging and escalating to the Payrollteam where the matter falls within their remit.
• Maintain andcontinuously improve documented procedures for the temp worker administrationprocess stream, ensuring SOPs remain aligned with the applicable legislation.
What you’ll bring
Essential
• 1-2 years of HR administration experience, ideallygained within a regional or multi-entity environment
• Working knowledge of employment legislation in Hong Kong and/or Singapore and Malaysia
• Experiencesupporting payroll inputs and employee benefits administration
• Proficient inHRIS platforms and Microsoft Office (Word, Excel, Outlook)
• Strongattention to detail with the ability to handle sensitive and confidentialinformation with discretion
• Excellentwritten and verbal communication skills in English
• Highlyorganised with the ability to manage competing priorities and meet deadlines
• A proactive,solutions-focused mindset, comfortable working with ambiguity and takinginitiative
• Familiarity with MPF and CPF administration
Desirable
• Experience administering temporary, contract, or contingent workers, ideally in aregulated or compliance-heavy environment
• Proven ability to manage multiple stakeholder relationships across different teamswith differing priorities, processes, and ways of working
• Exposure to contractor or agency engagement models and an understanding of the associatedcompliance considerations in Hong Kong and/or Singapore
• Experience working across HR Ops and Compliance (or equivalent) functions, and comfortablenavigating the handoffs between them
