The HR Assistant under the workpass and operations team will play an active role in handling foreign work pass application for candidates under the organisation such as the submission, renewal or cancellation of workpass. In addition, he/she will also support other ad-hoc HR operational duties relating to employee engagement events, onboarding and other ad-hoc duties.
RESPONSIBILITIES
Foreign Work Pass Application
- Handle end-to-end work pass (DP, LOC, EP, SP, WP, PLOC and others) administration including but not limited application, renewal, issuance, and cancellation of work passes for internal and outsourced foreign workers.
- Handle work pass SAT requests from business operations team.
- Maintain work pass administration record tracking and follow-up closely on all work pass transactions.
- Preparation of appeal letters, other request letters with the MOM for candidates
- Submission of MOM monthly GIRO report to Finance
- Preparation and submission of month levy bill and levy adjustment reports to finance.
Employee Engagement & General HR Operations
- Assist in the planning, executing and roll-out of employee engagement events.
- Taking minutes during the meeting, liaising with vendors on the event arrangement
- Preparation of events media and collaborating with stakeholders on media sharing for marketing purposes.
- Coordinate office decorations from time to time for festive and/or celebratory purposes.
- Prepare event messages for dissemination during company-wide events
- Execute new hire onboarding briefing on weekly basis which includes preparation of new hire welcome pack, conducting office tour for new hires, coordinating issuance of work pass for foreign hires, updating new hire photos, record keeping for onboarding forms and other related duties as assigned.
- Other ad-hoc duties as assigned.
REQUIREMENTS
- Min Diploma in Business/ Human Resource Management
- 1 - 2 years of HR related experience (Preferably in the recruitment industry)
- Able to multi-task and work within tight deadlines
- Excellent communication skills in English
- Strong interpersonal skills and able to interact with staff at all levels
- High degree of initiative and integrity
- Able to work independently with minimum supervision
- Good coordination & follow up skills
- Good planning and prioritization skills
- Ability to negotiate and solve problems to manage tough situations
- Proficient in MS Word, Excel & PowerPoint
