Job Purpose

We are seeking a meticulous, independent, and high-caliber Accountant to oversee our daily financial operations, manage our investment portfolios, and ensure robust financial governance. • Organize and conduct HSE training sessions, fire drills, and emergency preparedness exercises.

• Maintain accurate HSE records, permits, and statutory compliance documentation.

• Serve as the point of contact with external regulators and authorities for HSE matters.

Facility Management

• Oversee day-to-day facility operations, including building maintenance, repairs, cleaning, and security.

• Manage preventive and corrective maintenance schedules for office, warehouse, and other facilities.

• Coordinate with vendors and contractors for facility services and ensure quality, cost-effectiveness, and timely delivery.

• Monitor utility consumption (electricity, water, etc.) and implement initiatives to reduce costs and improve sustainability.

• Ensure all facilities meet health, safety, and environmental standards.

• Plan and manage office relocations, renovations, or facility improvement projects.

General & Administrative

• Manage facility-related budgets, cost control, and procurement of supplies and equipment.

• Prepare reports and provide recommendations to management on HSE performance and facility improvement.

• Support business continuity planning and crisis management activities.

Qualifications & Requirements

• Diploma/Degree in Occupational Health & Safety, Engineering, Facilities Management, or related discipline.

• Certification in Workplace Safety & Health (WSH) or NEBOSH/ISO 45001 preferred.

• At least 3 years of experience in HSE and facility management, ideally in logistics, manufacturing, or marine/offshore.

• Strong knowledge of workplace safety regulations, risk management, and environmental practices.

• Experience managing vendors, contracts, and facility maintenance.

• Good communication, problem-solving, and project management skills.

• Proficient in MS Office and facility/HSE management systems.

RESPONSIBILITIES:

Warehouse Operations

• Oversee receiving, counting, sorting, packing, storage and labelling of goods

• Maintain proper stock levels and ensure accurate inventory records

• Ensure proper receipt, counting, sorting, packing, storage and labelling of goods

• Verify all incoming shipments and deliveries against invoices and packing lists, ensure all goods are received in good condition and report discrepancies or damage promptly

• Ensure goods are properly prepared and packed for delivery

• Handle heavy products safely

• Maintain warehouse cleanliness, organisation, and safety standards

Logistics Coordination

• Plan and coordinate logistics operations, including inbound and outbound shipments, customs clearance, and freight arrangements

• Monitor and track shipments to ensure timely delivery

• Ensure compliance with customs regulations and liaise with freight forwarders for smooth clearance

• Optimize routes and reduce transportation costs where possible

 Inventory Management

• Conduct regular stock checks and cycle counts

• Report stock discrepancies or damaged goods to management promptly

• Investigate and resolve inventory discrepancies

• Prepare inventory reports for management review

 Documentation & Compliance

• Ensure accurate documentation for all shipments and receipts

• Comply with company policies and regulatory requirements

• Identify process gaps and propose improvements

• Support implementation of warehouse management systems (WMS)

REQUIREMENTS:

• Diploma in Logistics, Supply Chain Management, or related field

• Minimum 3 years of experience in warehouse and logistics environment

• Knowledge of import/export documentation, incoterms and customs clearance processes

• Strong knowledge of inventory control and WMS systems

JOB SUMMARY

The Executive for Volunteer Management & Development is responsible for end-to-end volunteer engagement, development and management activities. This includes coordinating volunteer recruitment, training, and retention; managing the volunteer lifecycle from screening to exit; working closely with colleagues to match programmes / organisation’s needs and volunteers’ interest and availability; maintaining databases of volunteers and volunteering activities; building relationships with volunteers and the organisations they are from; and evaluating volunteers’ experience.

Strong passion in volunteer development and mobilisation, strong communication and relationship building skills, ability to problem-solve, self-initiated and being a strong team player are critical to success in the role.

JOB RESPONSIBILITIES

Recruitment & Engagement

• Develop and implement plans to attract volunteers with the right skills and interests for various roles and programmes.

• Foster a positive and supportive environment to maintain volunteer motivation and commitment.

• Work with the Programme Head to engage the YMCA Alumni.

Training & Support

• Implement orientation and training sessions to prepare volunteers for their roles.

• Support the review and planning of volunteer training programmes, including but not limited to the YMCA–NUS Volunteer Service Management Programme.

• Match volunteers align with their skills and interests, with programmes and/or organisation's needs. 

• Offer guidance and support to volunteers to ensure their success and satisfaction.

Volunteer-Focused Initiatives & Relationship Management

• Coordinate and lead volunteer training, engagement and appreciation initiatives including the annual YMCA – Lim Kim San Volunteers Awards Ceremony.

• Work closely with Programmes and the Fundraising team to foster relationships with corporate partners, public agencies and other non-profit organisations to cultivate volunteering opportunities and experiences.

Data Management & Evaluation

• Together with the Programme team to maintain accurate records of volunteer data, participation, training, and hours.

• Ensure adherence to Personal Data Protection Act (PDPA) in data management.

• Evaluate and report on success of volunteer recruitment and initiatives.

• Use data to inform volunteer management and development strategies and identify areas for improvement.

• Experience in developing a Volunteer Management System is a plus.

Policies, Procedures & Risk Management

• Supporting update policies and procedures to guide volunteers, volunteer management and volunteer development effectively.

• Conduct risk assessments and implement measures to ensure volunteer and participants / clients’ safety, and programme effectiveness.
