RESPONSIBILITIES

The Operations Support Assistant supports clients/ student care, cleaning, school operations, events, and basic administrative tasks within Fernvale Gardens School.

• Client / Student Care (Special-to-type cleaning)
• Operational Support Events & Activities
• Assist to Maintain Facilities
• Assist with Vector Control
• Operational Support to School
• Simple Admin Tasks

Key Tasks:

• Clean students who soil themselves
• Clean soiled area -
• Manage students' lost-and-found corner
• Open and close the school General Office
• Cover school security duties during Security Officer's lunch-break
• Upkeep sensitive areas (e.g. General Office and P/VP rooms)
• Mann the school when there is weekend maintenance / repair works
• Upkeep of notice-boards
• Oversee sorting and storage of school materials and resources
• Store, shift and maintain school furniture (e.g. tables, desks and chairs
• Assist to respond to fire alarm / incidents (e.g. as fire wardens)
• Maintain cleanliness of MINDS school van/mini-bus (*where applicable)
• Help students safely alight and board buses and accompany them to the holding area upon arrival at the school
• Set up of seating/tables for events
• Put up/remove decorations for special festivities and events
• Packing and distribution of items for programmes and events
• Arrange refreshments for meetings and functions
• Attend to simple faults and repairs
• Assist in facility inspections and reporting, including safety checks, faults and defects
• Assist in simple landscape maintenance
• Assist in looking after school set-ups (e.g. fish aquarium, terrarium, hydroponics farm structure)
• Sorting, packing and shredding of documents
• Simple filing of documents - Simple data entry
• Any adhoc duties assigned by the Reporting Officer

Job Responsibilities:
As an Operations Assistant in our Pre-Owned Cars segment, you’ll be supporting our car showroom and vehicle preparation processes.

Showroom Vehicles

• Perform daily checks to ensure showroom cars are in good condition and properly parked
• Coordinate and maintain accurate records of the movement and transfer of vehicles between locations
• Ensure showroom cars display correct spec sheets and model plates
• Complete proper vehicles handover checks and documentation
• Arrange showroom cars for workshops or vendors servicing when required

Sold & Delivery Vehicles

• Ensure sold cars are parked at designated areas with proper signage
• Send vehicles for STA inspection/Agent/External vendors
• Create and follow up on job entries in Salesforce/Planner
• Coordinate delivery schedules closely with Sales Consultants
• Ensure vehicles are thoroughly checked and detailed before customer delivery
• Do tyre/battery checklist
• Accountability of Delivery Packs (2 master keys, Owner Manual and Service Booklet)

Other Responsibilities

• Communicate and coordinate with stakeholders
• Support and participate in sales events as required
• Generate Purchase Order amount accurately and promptly for superior approval

• To assist in monthly stock take

Job Requirements:

• Class 3 driving license is a must and with prior technical knowledge in automotive industry is a plus

Role Summary

The Customer Service & Operations Engineer (Junior) provides first-line operational support and customer communication for production environments. Role Summary:

The Service Operations Assistant is the backbone of the service department, ensuring that field engineers have the parts and certified tools they need for daily operations. This is a versatile role that combines inventory management, technical equipment maintenance, and administrative procurement support, alongside ensuring the service facility remains a clean and professional workspace.

Key Responsibilities:

1. Store & Inventory Management

• Manage the service store inventory, including receiving, picking, packing, and labeling of spare parts.
• Prepare "job kits" for Field Service Engineers daily to ensure they have all necessary components before heading to customer sites.
• Conduct regular stock-takes and monitor inventory levels to initiate timely replenishment requests.
• Support the main warehouse team with the physical loading and unloading of cargo and general movement of stock.

2. Equipment Maintenance & Calibration

• Act as the custodian for all engineer testing and measurement equipment, maintaining a master register of all assets.
• Maintenance & Repair: Responsible for the general maintenance and basic technical repair of testing equipment (e.g., checking battery health, replacing fuses, and ensuring mechanical integrity).
• Calibration Program: Coordinate external calibration schedules with third-party labs and ensure all equipment is within its valid certification period.
• Maintain meticulous records of calibration certificates and "As-Found/As-Left" data for audit readiness.

3. Facility Upkeep & Housekeeping

• Area Cleaning: Take daily ownership of the cleanliness and organization of the service department, workshop area, and service store.
• Ensure the workspace is free of clutter and compliant with safety standards.
• Support general facility maintenance and address minor building-related needs.

4. Administrative & Procurement Support

• Convert supplier quotes into internal Purchase Requests (PR) and manage the progress of these requests through to delivery.
• Assist in updating service documentation, manuals, and digital records as required by the service manager.

Requirements

• Education: ITE Nitec or Diploma in an Engineering, Logistics
• Experience: 1–3 years of experience in a warehouse, store, or technical service environment.
• Technical Skills: * Basic "hands-on" mechanical or electrical aptitude to perform minor repairs on tools.
• Proficient in Microsoft Office (Excel) for inventory tracking and record-keeping.
• Experience with basic procurement or ERP systems is an advantage.
• Physical Attributes: Must be physically fit and willing to perform active tasks, including area cleaning and moving heavy cargo/equipment.
