Workforce Scheduler

The Role

As a Workforce Scheduler, you’ll ensure our sites are resourced efficiently by planning rosters, managing contingent labour, and partnering with Site Leaders to maintain seamless workforce coverage across your region.

• Build accurate, forward‑looking rosters aligned to operational needs
• Manage contingent labour pools and agency partners
• Maintain rosters, trackers, and compliance across systems
• Support onboarding and site access requirements
• Lead weekly labour planning meetings
• Fill vacancies, manage absences, and adjust labour plans proactively
• Resolve time & attendance exceptions with Site Leaders
• Handle HR‑related matters for contingent employees
• Provide reporting, maintain data integrity, and support workforce planning
• Identify improvement opportunities and support new tools and processes

About You

You’re organised, proactive, and thrive in a fast‑paced environment. You communicate clearly, manage competing priorities, and maintain strong compliance and accuracy.

• Experience in scheduling/rostering (FIFO or 24/7 operations a plus)
• Knowledge of awards, EAs, and labour legislation
• Strong technical capability (ATS, Power BI, UKG, induction systems)
• Excellent stakeholder engagement and communication skills
• Strong problem‑solving, organisation, and data interpretation skills
• Ability to work within KPI/SLA frameworks

Key Responsibilities:

• Manage all FM procurement categories including catering, cleaning, maintenance, utilities, and waste
• Lead sourcing strategies, negotiations, supplier onboarding, and contract management
• Align procurement goals with operational requirements through cross-functional collaboration
• Oversee daily procurement operations: approvals, reporting, documentation, and compliance
• Resolve supplier performance issues and risks with agility and professionalism
• Provide commercial leadership throughout bids, tenders, and mobilisation phases
• Foster strong relationships with suppliers to ensure performance, quality, and value

Location: KK Hospital
Shift Hours : 7am to 3pm or 1pm to 9pm(rotating shifts)

Working Days: 6 Days

Job Summary:
To be responsible for the overall patient meal service and maintain good relationship with the patient

Key Responsibilities:
• To be responsible for the meal service for the patients including meal order taking, meal service and tray clearance
• To liaise with various departments such as dietetics and kitchen to ensure accurate patient meal service
• To follow the procedures related to control room pertaining to meal service
• To provide excellent customer service to the patients in the wards.
• To ensure a good relation with the patients and make sure their concerns are taken care of.
• To attend to all patients complaints and feedbacks within a short period of time.
• To achieve the standard set in the KPI for his/her department.
• To attend trainings in relation to the job and train new joiners in whichever area that has been identified.
• To carry out the orientation training for new staff in customer service as well as using the EMOS system.
• To carry out all other administrative and operational related duties assignment assigned by superior and the Management

Key Requirements:
• At least 1 year of relevant working experience preferably in customer service/F&B industry.
• Able to work independently and enjoy working closely with all levels of staff to achieve positive outcomes.
• Service oriented and customer focused.
• Sharp, analytical and self-motivated.
• Good communication and interpersonal skills.
• Able to work independently as well as in a team with minimal supervision.

The Role

• Lead commercial and procurement support across Cooper Basin, Surat, and Curtis Island, managing RFQs, purchasing activities, supplier documentation, and contract lifecycle administration.
• Coordinate tendering and contracting processes, including preparing scopes, issuing and evaluating quotes, and ensuring all contracts, insurances, and safety documents remain current and compliant.
• Manage financial workflows by processing purchase orders and invoices, reconciling maintenance expenditure, monitoring spend against budgets, and supporting accurate end‑of‑month reporting.
• Deliver high‑quality performance reporting through analysis of contractor performance, cost trends, work order completion and audit readiness, while contributing to continuous improvement initiatives.
• Provide exceptional stakeholder and supplier support, acting as a key point of contact to resolve commercial queries, ensure clear communication of maintenance activities, and build strong, collaborative working relationships.

About You

• Certificate or diploma in Facilities Management, Business Administration, Procurement, or related field (preferred but not essential).
• Experience in facilities management, maintenance administration, procurement, or commercial support roles.
• Strong analytical skills
• Strong organisational and time‑management skills with ability to prioritise competing demands.
• High attention to detail with experience in financial processing (invoices, POs, budgets).
• Excellent communication and stakeholder engagement skills.
• Ability to work independently and as part of a team
• Proficient in Microsoft Office and knowledge of Urbanise Platform preferred

Job Summary:

· Receptionists must be smartly attired to project Client’s Corporate image.

· Answer switchboard within 3 rings to all incoming telephone calls and ensure that all messages are directed to the right recipients.

· Perform reception service in an efficient, professional and courteous manner

· Greet, receive, inform and guide on-site visitors arriving at the main reception desk

· Welcome trainers and give them folders and meeting room keys. Issue trainers passes on confirmation of their identities. Give WiFi codes.

· Maintain a visitors/participants log to sign in and sign-out

· Arrange the host to receive their visitors

· Issue visitor passes on confirmation of their identities

· Provide administrative support such as photocopying, faxing, providing wifi codes, etc. to all visitors, guests, participants and trainers

· Managing relevant record and compliance to security procedures, and responsible for issuing ID badges and tracking and ensuring their return

· Contribute to achieving strong customer relationships by focusing on responsiveness and communications as well as on meeting and/exceeding customer’s expectation

· Mailroom Service - Receive mail from Singapore Post, courier services which will then need to be sorted for the occupants. 

·  Ensure the cleanliness and upkeep of the area/lounge to reflect the Client’s Corporate image; if necessary, call the cleaning services

·  Handle Help Desk on all user request

·  To play a key support role in the delivery of client projects, including client liaison, contact with internal resource departments and external suppliers, and administrative work.

· Support Client’s Event Management team with meeting room reservation and arrangements. Daily equipment check in conjunction with meeting room support.

· Answer all incoming calls for offices in Singapore

· Ensure the console is kept up to date

· Check New Starter and Exit spreadsheet and update as required.

· Contact Managers of new starters to determine extension of new starter

· Liaise with team assistants to ensure updated team lists are sent through regularly

· Liaise with Managers to obtain relevant client information for their respective teams.

· Reflect a professional and courteous profile for client

· Open, date-stamp, and sort mails by business/ department. Place in pigeonholes for scanning team.

· Record all incoming Registered/Express Post mail

· Prepare and list cheques as per cheque handling procedures required by Finance

· Dispatch and retrieval of archive boxes from external supplier

· Prepare consignment notes for international mail satchels and freight

· Prepare local Post manifest totalling daily outgoing mail

· Provide relief coverage for Mailroom and FOH roles when required

· Understand the EMS system in conjunction with visitor registrations and issuing of passes

· Any other facilities tasks related to smart office as directed by the Facilities Coordinator

Knowledge, Skill and Abilities Required

· Minimum a Diploma in Facilities Management or its equivalent

· A proven background in the field of facility or similar related discipline

· Working knowledge of the statutory requirements and their application in OH&S and knowledge of government agencies and key client framework

· Computer literate in Microsoft Office and Access

· Excellent time management and teamwork skills

· Commitment to continuous improvement and best practice

· Excellent grooming and personal hygiene standards

· Self-motivated and lateral thinking

· Languages: English Fluent. Bilingual will be advantageous.
