Job Responsibilities:

• Report to the Senior Facilities Manager.
• Assist SFM and the client on the following:
• Oversee and manage the day-to-day operations of multiple facilities including office buildings, or other managed spaces within the assigned zone and ensure the efficient operation, maintenance, and safety of the facilities.
• Manage and mentor facility teams, including executives, supervisors, technical officers, technicians, and support staff, to ensure a cohesive and efficient workforce.
• Carry out internal inspection weekly. This shall form part of the Key Performance Indicators.
• Direct and co-ordinate all other matters including monitoring of progress, installation and testing of equipment, technical personnel training, logistic support, documentation preparation and operation start-up.
• Manage budgets for each facility in the zone, allocating resources effectively to meet maintenance and improvement needs.
• Assist in the execution of work order and follow up with the service reports when the works are completed and submit the service report to SFM for record.
• Coordinate with external service providers, contractors, and vendors to ensure service delivery meets quality standards and contractual obligations.
• Develop and implement preventive maintenance programs, identify repair needs, and ensure timely resolution of facility issues;
• Ensure compliance with health and safety regulations, implementing measures to mitigate risks and maintain a safe working environment.
• Implement eco-friendly and sustainable practices, working towards energy efficiency and waste reduction goals.
• Maintain accurate records, prepare reports, and communicate with senior management regarding the status of facilities and ongoing projects.
• Analyze facility performance metrics, identify areas for improvement, and develop action plans to enhance operational efficiency.
• Oversee facility improvement and renovation projects from conception to completion, collaborating with internal teams and external contractors.
• Ensure that all his technical team and direct contractor appointed by client or Contractor’s subcontractors follow QEHS ISO requirements and Statutory Requirements.
• Ensure campus is clean and free from pest.
• Attend monthly meetings on the FM Operations requirements of this Contract.
• Assist SFM and client to manage food court operators and ensure premises is well-maintained by operator and meets the requirements in contract not limiting to:
• Conduct monthly inspection with food court operator.
• Check and verify service reports submitted by operator as per contract requirements.
• Conduct spot checks on selling price and report to client on any non-compliance with approved pricelist.
• Assist SFM and Client to manage the apartment operator and ensure premises is well-maintained by operator and meets the requirements in contract not limiting to:
• Conduct monthly inspection with apartment operator.
• Conduct quarterly inspection with apartment operator and Client
• Check and verify service reports submitted by operator as per contract requirements.
• Arrange two-monthly apartment operations meeting with operator and Client.
• Undertake any other related duties stipulated by Client.

Requirements:

• Degree holder in Architecture or Engineering or Real Estate or Building/Facilities Management or equivalent with 7 years of relevant working experience; OR
• Diploma holder in Architecture or Engineering or Real Estate or Building/Facilities Management or equivalent with 10 years of relevant working experience.

Work with the sales team to set targets and to ensure budgeted sales are achieved ; Actively support, and where necessary lead major customer proposals and contracts; Serve as a key relationship partner for high level customer engagements. Ensure that reports and quotes satisfy requirements for contract review, technical content, and minimize legal risk.

Process/Performance Improvement - Enhance skills and processes across the businesses through a focus on continuous improvement; effectively deploy a management tool box with analysis to drive appropriate KPI’s/metric improvement.

Leadership/People Management – Develop and build a high performing team; Build technical strength and ensure all staff are adequately trained to perform their duties. Create a culture of ‘can do’ and ensure high levels of staff engagement and productivity. Provide regular, timely communications and feedback to employees. Roles and Responsibilities

Management System

• Monthly reporting on lab P&L and other KPIs
• Adhere to Element Quality and SHE management system policies and procedures.
• Assist with hazard identification and risk assessment exercises within their areas of responsibility.
• Monitor day-to-day health and safety in area of responsibility and ensure all hazards, near misses and accidents are reported.

Technical and Business Development Responsibilities

• Provide technical expertise to the team on the services provided by the company to its customers.

Job Specifications

• Assist in installation of air conditioning and heating (HVAC) systems in accordance with project specifications and drawings.
