Job Summary

We are looking for suitable candidates who have experience in delivering projects for corporate office clients.

Key Responsibilities

1. Project & Site Management

• Lead construction activities from mobilization to final handover.
• Develop and manage construction schedules; brief vendors on timelines.
• Supervise subcontractors, trades, and site personnel to ensure work quality and timely completion.
• Coordinate site logistics, material deliveries, and installation schedules.
• Oversee compliance with approved drawings, specifications, and contractual requirements.

2.Stakeholder Collaboration

• Work closely with Project Managers, Design Team, Consultants, and Clients to ensure cohesive project execution.
• Interpret and communicate plans, progress, and technical details to staff, consultants, and client representatives.
• Conduct and minute weekly vendor/subcontractor meetings to track progress and resolve issues.

3. Reporting & Documentation

• Prepare and submit site-related reports, including pre-construction surveys, weekly progress updates, and meeting minutes.
• Ensure proper documentation of defects, quality checks, and closure processes.
• Prepare OMM manuals, as-built drawings, and reports for client handover.

4. Quality & Safety Assurance

• Conduct regular site inspections to ensure compliance with quality standards.
• Enforce adherence to WSH Act, ID21 safety protocols, building codes, and building management regulations.
• Champion a strong safety culture across all construction activities.

5.Regulatory & Building Management Coordination

• Coordinate BMO inspections (e.g., water ponding test, ceiling void checks, post-renovation inspections).
• Arrange access to building M&E facilities in coordination with building management.

We welcome candidates who have:

• Min 8 to 10 years of Construction experience handling interior fit-out projects.
• Degree / Diploma in Building Construction.
• Candidates with AEI or structural experience will be highly considered.
• Must have experience using Microsoft Projects and doing Project scheduling.

• Conduct sales planning and develop service strategies to grow the portfolio.

• Serve existing clients and actively develop new customer relationships.

• Develop and nurture strong relationships with existing clients to understand their requirements, preferences, and pain points.

• Gather and analyse customer feedback, needs, and requirements

• Propose solutions and sales presentations to showcase the value and address client questions head-on.

• Prepare and negotiate maintenance contract proposals, including:

- Maintenance rates

- Terms & conditions

- Legal and customer-specific requirements

• Participate in open tenders and prepare all necessary documentation for submission.

• Review customer-issued contracts for special terms and conditions that differ from company standards.

• Act as a liaison between operations and commercial teams.

• Support digital business initiatives and transformation efforts.

• Stay current with industry trends, competitor activities, and customer feedback to identify new opportunities for improvement.

• Work closely with cross-functional teams to align efforts, leverage resources, and maximize sales opportunities to align service delivery with contract terms.

• Assist Credit Control Executive in pursuing overdue payments.

• Prepare monthly reports such as:

- VFO

- Unit Losses

- Conversion Report

- P21

• Ensure compliance to Organizational Norms, policies, procedures, and requirements of the Sales process

Role Overview

We are seeking a Leasing & Administrative Executive to support retail leasing operations and administrative functions. This role playsa key part in lease management, renewals, coordination with landlords, and internal stakeholders, while also providing strong administrative and reporting support for retail stores and roadshows.

This position is ideal for someone who values stability,is detail-oriented, and works well in a structured, collaborative environment.

Key Responsibilities

Leasing Support

• Manage lease renewals and support retail expansion plans, including new lease documentation
• Assist in lease negotiations through data analysis, site viewings coordination, and documentation preparation
• Support feasibility studies and handle lease-related administrative tasks
• Oversee end-to-end lease administration, including:

• Data entry and tenancy record maintenance/Payment processing and vendor coordination

• Manage façade signage matters and ensure timely execution of rental renewals
• Act as a liaison between retail teams and landlords to resolve operational issues (e.g. water leakage, facilities concerns)
• Stay updated on Singapore retail mall market trends

Administrative & Operational Support

• Prepare, update, and maintain leasing and administrative reports
• Ensure proper documentation control and shared filing systems
• Liaise with Operations, Finance, and Legal teams
• Evaluate store and roadshow performance through productivity analysis
• Manage all administrative paperwork related to roadshows
• Provide operational support for retail events and activities
• Perform other duties as assigned by the Reporting Officer

Requirements

• Diploma in Leasing, Business, or related fields
• Minimum 2 years of administrative experience
• SAP knowledge is an advantage
• Proficient in Excel, Word, PowerPoint & Outlook
• Strong organizational skills with good attention to detail
• Able to manage multiple tasks in a structured manner
