Job Scope

Performance Management – Achieve operational goals and key performance indicators that are stipulated by the Client in an accurate and timely manner in accordance with the requirement.

Operation Management – Handle the day-to-day operations in Admin Matters such as, Contract Management / Finance Management / Project Administration / Staff Screening / Staff Onboarding and Off Boarding / User Access Review / Annual Review of Roles and Access Rights for the client’s team / and any other administrative task as assigned by the Client from time to time.

Customer Service – Staff handles and executes the customer service support initiatives to deliver a highly professional standard of service to customers.

Qualifications:

Completed G.C.E. level with some years of working experience in HR admin.

some computer skill and able to handle the admin. matters with minimum supervision

Duties:

to distribute our company's newsletter to the regulars and some Cs duties

Legalisation (Main Tasks)
- Ensure the accuracy and compliance of Notarial Certificate procedures prior to document authentication.

- Conduct thorough, multi-step verifications on Singapore Government-issued documents before processing them for Apostille.

- Provide exceptional, responsive customer service to address inquiries, resolve issues, and enhance the overall customer experience.

- Assist customers and members of the public with online payment processes.

- Respond promptly to customer inquiries received through walk-ins and emails.

- Address customer challenges or concerns related to Notarial Certificates and document legalisation.

- Support counter operations by assisting with general and technical issues, escalating matters as needed before opening.


Stakeholding (When required)

- Administrative support (including data entry) to the team to ensure smooth and efficient daily operations.

- Maintain and update records in the Stakeholding System and SharePoint.

- Ensure timely completion and accuracy of assigned tasks.

- Carry out additional duties as assigned.


Job Prerequisites

• Diploma qualification from a local polytechnic.
• Minimum 2 years of office-based customer service work experience.

Overall Responsibilities:
You will be assuming all-round finance and accounting responsibilities of the office, ensuring smooth operation and accurate and timely delivery of monthly and annual financial reports. You will be in charge of monthly and yearly budgeting, financial planning, forecasting and annual audit.

Key areas of Responsibility

1. Prepare and report Monthly/Quarterly Financial Statements for Board Meetings
2. Present Monthly/Quarterly Budget for Board's review and approval
3. Advise on finance matters as and when required - Audit, SOPs, etc
4. Ensure Financial Schedules are prepared (includes audit schedules) before Audit starts
5. Liaise with external auditors on audit requirements
6. Liaise with HODs on Budget preparation and the required documentation
7. Consolidate budget and submit for verification
8. Monitoring of actual expenditure to ensure that purchases are within budget
9. Review/submit Monthly Reports to the Director
10. Verify and submit Grant Reports
11. Any other duties as assigned by the Manager/Director
12. Assist the Director to present quarterly reports to the Board

Requirements:

• A Degree in Accountancy or professional qualifications like ACCA
• At least 5 years of accounting experience with at least two years handling full set of accounts, if possible
• At least 3 years working experience in reporting role
• Must be meticulous, IT proficient and familiar with Microsoft suite of products
• Be able to work independently and has good communication skills
• Has strong interpersonal skills, a team player and have strong sense of responsibility
• Experience in a non-profit society will be an advantage
