Summary

The HR & Admin Manager is responsible for overseeing and managing all aspects of the human resources function within an organization. This includes developing and implementing HR policies and procedures, managing employee relations, recruiting, and onboarding, performance management, training and development, compensation and benefits administration, and ensuring compliance with relevant labor laws and regulations. The HR & Admin Manager plays a crucial role in fostering a positive and productive work environment and supporting the organization's overall goals and objectives

Job Duties

Human Resource

• Lead the recruitment and selection process, including sourcing candidates, conducting interviews, and making informed hiring decisions for normal or overseas hiring and BPO (*placement of staff at client location) recruitment.
• Oversee seamless onboarding and offboarding processes for employees, ensuring compliance with company policies and fostering a smooth transition.
• Develop and implement HR policies and procedures aligned with organizational objectives and goals.
• Identify, design, and execute training and development programs aimed at enhancing employee competencies and effectiveness.
• Manage compensation and benefits administration, encompassing salary reviews, bonus programs, employee benefits packages, and payroll processing.
• Offer guidance and support to managers and employees on various HR-related matters, including performance management, employee relations, and disciplinary actions.
• Address employee grievances and facilitate conflict resolution to cultivate a positive work environment.
• Maintain accurate employee records and HR information systems, ensuring utmost data confidentiality and integrity.
• Efficiently manage various forms of correspondence, including emails, letters, packages, and phone calls.
• Monitor office supplies inventory and replenish as needed to prevent disruptions in standard front office operations.
• Coordinate and schedule meeting rooms as per requests from different parties.
• Liasing with external client with regards to BPO (e.g. customer service for staff replacement)
• Task to explore set-up for a branch office in other countries (e.g., office location, registration, administrative process).
• Other tasks that may be assigned by supervisor or director.

Qualifications & Skills

• Bachelor's degree in Human Resources, Business Administration, or a related field is required.
• Demonstrated track record in HR management roles, with a minimum of 3 years of experience.
• Familiarity with MOM regulations and thorough understanding of the Employment Act and industry best practices is essential.
• Experience with labor laws in Malaysia, Philippines, or Indonesia is considered advantageous.
• Capable of working autonomously or collaboratively within a team environment, adept at managing multiple priorities and meeting deadlines.
• Excellent interpersonal and communication abilities are a must.
• Strong problem-solving and decision-making capabilities.
• Proficiency in MS Office Suite is required.

Position Summary

The candidate will play an important role in driving research administrative excellence, managing research collaborations and grants in Operations Research and Analytics (ORA) at IORA. This role will be the key administrative point of contact for research teams, partners, and stakeholders, and will lead process improvements across research and programme management functions.

Key Responsibilities

1. Research Administration, Collaboration & Grant Management

• Lead and oversee research administration activities within IORA, ensuring robust processes for research collaborations, industry partnerships, and compliance with NUS and funding agency requirements.
• Drive and coordinate research grant applications: Advise and support PIs and research teams in grant identification, application preparation, internal reviews, timely submission, and post-award administration.
• Monitor and manage grant portfolios: Oversee financial tracking, milestone monitoring, progress reporting, and compliance for all active research grants and collaborative projects.
• Serve as the primary administrative liaison with academic, industry, and funding partners for research collaborations, ensuring effective communication, documentation, and issue resolution.
• Supervise procurement, HR administration, and claims related to grant-funded activities; optimise processes for onboarding research staff, faculty, and students.
• Maintain oversight of research records, partnership agreements, and audit documentation for internal and external reporting.

2. Operations and Event support

• Organise event and seminar planning for IORA, including industry engagement events, workshops, and research seminars, ensuring effective resource allocation and logistics.
• Drive process improvements and digital transformation in research administration and programme management functions.

4. Leadership, Reporting & Compliance

• Compile, review, and submit management reports on research activities, grants and compliance for audits and strategic planning.
• Champion best practices in research integrity, data management, and regulatory compliance across all administrative processes.
• Represent IORA in meetings with internal and external stakeholders on matters related to research administration, grants, and postgraduate programmes.

Qualifications and Requirements

• Bachelor’s degree, preferably with further professional qualifications in research administration, business, or higher education management.
• At least 7 years’ relevant experience, with proven expertise in research administration, grant management, and postgraduate programme operations (ideally within a university or research institute).
• Strong leadership, interpersonal, and communication skills, with experience supervising staff and managing cross-functional teams.
• Excellent organisational, analytical, and problem-solving abilities.
• Demonstrated ability to drive process improvements and manage complex projects.
• Proficient in the use of research administration systems, grant portals, and office software

We are looking for a motivated individual to provide product safety leadership for our Personal Health Care business in Asia.  The role will involve preparation of safety assessments to support Personal Health Care products and ingredients from innovation through to launch, alongside development of product safety capability. Located at the P&G Singapore Innovation Center at Biopolis, you will work closely with a diverse and global team of technical specialists. You will have the opportunity work in multi-functional teams and externally support P&G representation to government agencies, industry associations and technical organizations.

How does success look like

You will be the primary owner of category product safety knowledge, including key technologies, potential safety concerns, relevant habits & practices data, safety-related external  issues, etc.

Key Responsibilities

• Support current and upstream R&D and business initiatives for Personal Health Care in one or more categories, on a regional and global basis
• Accountable for category product knowledge including key technologies/ingredients, potential safety concerns relevant to regions where products are to be distributed and/or sold, in market safety profile, external concerns and regulatory constraints in a Health Care context, covering oral, inhalation, injection and topical products. 
• Development of safety assessments for pharmaceutical actives and other ingredients used in P&G’s Personal Health Care portfolio.
• Develop safety related information for our internal and external business partners, consumers, and medical professionals on our major brands in Personal Health Care. This will involve evaluation of the question or concern, partnering with other experts across multiple functions to establish an appropriate safety strategy and development of a safety risk assessment to fully address the need.  
• Preparation of safety assessments to support products and ingredients during product development to post marketing.
• Additional responsibilities involve developing specific technical expertise, knowledge and methodologies for safety risk assessment for communication with academic, professional or regulatory communities.
• Working effectively across multiple functions providing strategic insights to the business and represent safety as well as with external scientists and regulators.

Job Qualifications

• PhD in Pharmacy, Pharmacology, Toxicology preferred; an equivalent Biomedical or Life Sciences related qualification will be considered. 
• Working knowledge of the effects of drugs, chemicals, biological materials, etc. on biological pathways.
• Proven ability to work collaboratively with diverse teams. 
• Excellent communication skills, both written and verbal in order to convey positions clearly and explain complex technical issues to a variety of internal customers as well as to external organizations
• Ability to collaborate efficiently and build positive relationships with a variety of partners across functions, regionally and globally
• Proactive and agile project leadership, troubleshooting and solution-driving skills
• Strong interpersonal and communication skills to connect with people from different cultures and levels, both internally and externally.
