Job Description

We are seeking a reliable, proactive and highly organized Personal Assistant to provide comprehensive support for both business and personal matters of the employer.

Key Responsibilities

• Manage and coordinate the employer's daily schedule, appointments and meetings.
• Handle personal and business-related errands and administrative tasks.
• Assist with travel arrangements, including flights, accommodation and itinerary planning.
• Liaise with clients, vendors and other stakeholders on behalf of the employer.
• Accompany the employer to meetings and appointments when required.
• Drive the employer safely and responsibly to various destinations.
• Ensure confidentiality and professionalism in handling sensitive information.
• Perform ad-hoc duties as assigned.

Requirements

• Possess a valid Singapore Class 3 or Class 3A driving licence.
• Comfortable driving the employer as part of daily duties.
• Willing and able to travel overseas for work when required.
• Strong organizational and multitasking skills.
• Good communication and interpersonal skills.
• Discreet, trustworthy and able to maintain confidentiality.
• Flexible with working hours and able to accommodate occasional overtime when necessary.
• Prior experience as a Personal Assistant or Executive Assistant in a similar role will be an advantage.
• Fluent in Mandarin and able to communicate comfortably with Mandarin-speaking employer.

Duties & Responsibilities

• Provide administrative support for NTU Door Access Control System (DACS)
• Coordinate meetings, prepare minutes, and track action items
• Support documentation, filing, and data entry for DACS
• Liaise with internal stakeholders and NTU counterparts on scheduling and logistics
• Provide 1st level response to enquiries/requests through NTU service portal for access changes
• Maintain proper documentation
• Support any ad-hoc administrative duties assigned

Skills & Experience

• Minimum Diploma in Business Administration or related field
• 1–2 years of administrative experience preferred (fresh graduates welcome)
• Proficient in Microsoft Office (Excel, PowerPoint, Word)
• Strong organisational and coordination skills
• Good communication skills and attention to detail
• Able to work independently while collaborating effectively within a fast-paced, team-oriented environment

Job scope:

• Documentation & Credit Apps: Facilitate and audit all documentation for client credit account applications, ensuring 100% accuracy prior to submission.

• Approval Workflow: Coordinate the internal approval routing for account creation, liaising with authorized signatories and the Finance team for final setup.

• System Configuration: Perform SCMS (Report Management System) account creation and login setup to enable secure client access to medical reports.

• Modifications & Terminations: Manage the full lifecycle of an account, including UEN updates, company name changes, reactivations, or closures due to cessation or contract non-renewal.

• Account Tagging: Assign relevant packages, service codes, and pricing structures to billing accounts to ensure error-free invoicing.

• CAS Price Vetting: Conduct rigorous vetting of system price adjustments to ensure alignment with formal service agreements.

• Manual Scheme Review: Perform periodic manual audits of pricing schemes and discounts; collaborate with Finance to assess margin impact and validate adjustments.

• Concession Management: Prepare and document scheme forms for clients eligible for discounted à la carte services.

• HSRF Customization: Create tailored Health Screening Request Forms (HSRF) that capture specific billing instructions and report delivery preferences for corporate clients.

• Appointment Strategy: Manage the appointment web portal in liaison with the Operations team (creation and modification of slots).

• Lab Liaison: Coordinate with lab providers for official quotations regarding new or modified tests and process IT requisition forms to update the Clinical Administrative System (CAS).

• Appointment Coordination: Manage multi-channel bookings (Phone, Email, Online), ensuring clients have absolute clarity on service types, locations, and timings.

• EDM Campaigns: Execute Electronic Direct Mail (EDM) campaigns to promote upselling opportunities. Responsibilities include database segmentation, lead follow-up, and ensuring 100% compliance with PDPA and branding guidelines.

• Audit Readiness: Assist in preparing documentation and records for internal and external audits to ensure departmental compliance.

• Process Improvement: Proactively identify bottlenecks in the account creation or billing workflow. Prepare and/or update SOP documents.

• Inter-departmental Liaison: Act as a key point of contact between Sales, Operations, and Finance to resolve client-related discrepancies or urgent service requests.

• Reporting: Prepare monthly administrative reports on account statuses, pending approvals, and campaign performance for Management review.

• Ad-hoc Projects: Perform any other duties or special projects as assigned by the Management or Department Head to support the evolving needs of the business.

Requirements:
• Min N/O/A level
• Customer service experience, specifically in responding to high volume of email enquiries and phone calls, as well as generating reports.

We are seeking a professional and dependable Personal Driver to provide dedicated one-to-one transport support for a Top-Level Executive. This trusted role involves both business and personal driving duties and requires prior experience chauffeuring senior executives or high-profile individuals. The ideal candidate will demonstrate a high level of discretion, strong knowledge of Singapore roads, and a commitment to safety, confidentiality, and service excellence.

Duties and responsibilities

• Provide safe, punctual, and courteous transportation for a Top-Level management to and from meetings, events, and personal appointments

• Plan and optimize routes to ensure timely arrivals and adapt to changes in traffic or schedule

• Remain on standby for last-minute or urgent transport requests, including outside regular hours

• Maintain the assigned vehicle in pristine condition through regular cleaning, fueling, and timely servicing

• Adhere strictly to Singapore traffic laws and road safety regulations

• Assist with loading and unloading luggage, documents, or packages as required

• Maintain the highest standards of professionalism, confidentiality, and discretion in all interactions

• Communicate clearly and courteously with the Managing Director/CEO and their family to confirm pick-up/drop-off details and any special instructions

• Manage time efficiently to accommodate a dynamic and demanding schedule

• Collect vehicle from workplace each day, and return it at the end of the work day

Job Requirements

• Minimum 3–5 years of experience (especially with luxury or MPV vehicles) as a personal or corporate driver to C-suite executives or VIPs in Singapore

• Valid Singapore Class 3 driving license with a clean driving record,

• Excellent knowledge of Singapore’s road network and traffic conditions

• Punctual, discreet, well-groomed, and professional in appearance and demeanor

• Able to manage dynamic schedules and respond professionally

• High level of trustworthiness and respect for privacy

• Able to work flexible hours, including public holidays as needed

Responsibilities:

General Administration:

• Manage daily office operations and provide administrative support to staff.
• Organize and maintain filing systems, both electronic and paper based.
• Assist the Management in performing manpower recovery every month. Generate monthly report from SAP for the Management to analyze the parameters for continuous improvement in our process and productivity

Invoice Management:

• Review and verify the accuracy of invoices and payment requests.
• Coordinate with the finance department to ensure timely processing of invoices.
• Maintain records of all financial transactions and documentation.

Purchasing:

• Procure office supplies and equipment as needed, ensuring cost-effectiveness.
• Establish and maintain relationships with vendors and suppliers.
• Monitor inventory levels and reorder supplies when necessary.

Asset Tracking:

• Maintain an updated inventory of office assets, including furniture, equipment, and technology.
• Track asset usage and ensure proper maintenance and care.

Information Dissemination:

• Act as a point of contact for internal communication, distributing information to staff as needed.
• Prepare and distribute company-wide announcements, memos, and reports.
• Assist in onboarding new employees by providing necessary information and resources.

Requirements:

• Higher Nitec or Diploma/ Degree in any discipline
• Knowledge of Excel and other data management software
• Technical background and/or Services background to support the customer requirement
