Roles and Responsibilities:

We are a Japanese law firm established in Singapore since 2012. We have a diverse group of lawyers and supporting staff. The intern will support the Administration team and will be able to gain first hand experience in office administration. We are looking for an intern to start with us from 1 July 2026 for minimum 3 months to 6 months stint.

• Maintaining office facilities in good order
• Shipping and receiving of mails/couriers.
• Receiving/greeting of guests
• Answering incoming phone lines
• Support office activities as requested (teambuilding, meetings, etc.)
• Support Secretary team as requested
• Assist and cover Admin Department duties during individual absences.
• General Administrative duties as assigned by the Office Manager from time to time.

Requirements:

• Pursuing Degree or Post Degree from Singapore Institute of Higher Learning
• Those transitioning from Diploma to NS/NS to higher education is welcomed
• Must be able to work legally in Singapore.
• Courses from Business, HR & Admin, Accounting and etc.
• No experience required, training provided
• Detail oriented / organize / interactive / positive behavior
• Excellence in MS Office (Outlook, Excel and Word)
• Good command of both spoken and written English

Key Responsibilities

- Support day-to-day business and operational activities

Roles & Responsibilities

The Administration Intern will support day-to-day administrative coordination across the business. This role provides hands-on exposure to maritime operations and cross-functional workflows, while assisting with documentation, data management, and general coordination tasks.

Responsibilities

• Assist in preparing and updating operational documents, including Delivery Orders (DOs), using standard templates
• Perform data entry and maintain accurate records and supporting documentation for various functions like HR and Operations
• Support filing, document organisation, and maintenance of structured records and trackers
• Assist in obtaining quotations from vendors and coordinating basic administrative follow-ups
• Support scheduling and coordination of office activities and internal tasks
• Assist with general HR and administrative support, including record keeping, information gathering, and documentation
• Provide general office and administrative support as required

Requirements

• Currently pursuing or recently completed a Diploma or Degree in any discipline
• Strong attention to detail and organisational skills
• Comfortable working with data, documentation, and administrative tasks
• Proficient in Microsoft Office (Excel, Word)
• Good communication and coordination skills
• Able to multitask and work in a fast-paced environment
• Willing to learn and take initiative

Job scope

• Assist in identifying suitable candidates: This could involve using job boards, LinkedIn, and other platforms to find potential candidates.

• Conduct initial resume screenings: Shortlist candidates based on their qualifications and experience.

• Perform phone screenings: Conduct initial phone interviews with candidates to assess their skills and experience.

• Update and maintain the recruitment database: Ensure accurate records of candidates and their progress in the hiring pipeline.

• Organize candidate profiles: Keep candidate information organized and easily accessible.

• Schedule and coordinate interviews: Arrange interviews between candidates and hiring managers

-Responsible to logout and sending SL completed (checked) reports to client using E-lims, via email

-Monitoring the report due dates everyday

-Updating the monitoring file after sending using the Excel monitoring sheet

-Coordinating with the internal team for the reports to be released each day
