Job Purpose
We are looking for an Operations Assistant to support the day-to-day operational and administrative functions of the company. This role ensures smooth coordination of service, maintenance, and installation activities through effective documentation, scheduling, customer communication, and operational support.
Key Responsibilities
Administration & Documentation
- Prepare service reports, quotations, job completion documents, and related operational paperwork
- Maintain accurate records of client contracts, equipment listings, and service history
- Perform filing, data entry, and system updates to ensure up-to-date operational records
Communication, Customer Service & Payment Follow-up
- Handle client enquiries and coordinate with internal teams to ensure prompt resolution
- Follow up on outstanding invoices and liaise with clients regarding payment status
- Coordinate with the accounts team to support timely collection of payments
- Support customer satisfaction through effective scheduling, coordination, and follow-ups
Scheduling & Coordination
- Plan and schedule daily and weekly work assignments for technicians and project teams
- Coordinate service, maintenance, and installation appointments with clients
- Monitor job progress and provide timely updates to management
Contract Renewal & Client Support
- Track contract expiry dates and prepare contract renewal documentation
- Liaise with clients regarding contract renewals and follow up on confirmations
- Assist in preparing proposals for recurring maintenance and service contracts
Operational Support
- Ensure compliance with company procedures, safety standards, and regulatory requirements
- Provide administrative and operational support to the Head of Operations and operations team
Requirements
- Experience in an administrative or operations role, preferably within a technical, engineering, or service-based environment
- Comfortable handling documentation, scheduling, and coordination tasks
- Good communication and interpersonal skills to liaise with clients, technicians, and internal stakeholders
- Proficient in Microsoft Office and basic administrative systems
- Able to work independently and manage multiple tasks effectively
