Job Responsibilities

• Serve as the first point of contact for residents, tenants, and visitors, handling enquiries and service requests professionally
• Support the onboarding of new residents and tenants, including access card applications, key collection, and move-in/move-out coordination
• Coordinate with site teams to arrange inspections and follow up on maintenance or service-related matters
• Manage facility bookings, petty cash administration, and general office coordination
• Prepare and compile weekly and monthly reports, submissions, and supporting documentation
• Maintain proper filing systems and ensure accurate record management
• Monitor office supplies, stationery inventory, and equipment maintenance records
• Provide general administrative support and assist with day-to-day site operations

Job Requirements

• Minimum GCE 'O' Level, Nitec, Diploma, or equivalent qualification

About the role

As an F&I Admin Assistant, you will provide end-to-end loan processing support by coordinating with banks and internal sales teams, verifying documentation accuracy, and maintaining up-to-date loan records in Salesforce.

Key responsibilities

• Submit and record loan cases into Salesforce for processing

• Liaise with banks to follow up on loan status and approvals, and relay updates to Sales Consultants

• Verify loan documents submitted by Sales Consultants before releasing amounts for registration

• Review Tax Invoices, LTA log cards, and Insurance Cover Notes prior to bank dispatch

• Ensure HP Agreements and other required forms are properly signed before submission

• Generate dispatch batches in Salesforce and prepare disbursement documents for banks

• Update and track outgoing documents in Salesforce

• Coordinate daily document collection with banks

• Support Sales Consultants in obtaining outstanding documents before and after registration

• Assist with ad hoc administrative tasks as assigned

About you

• Diploma or equivalent qualification (Polytechnic and above)

• Minimum 1 year of experience in an administrative support role

Responsibilities

• Collate vehicle registration documents such as VPC, Insurance, TCOE, and ACRA from customers or finance companies to prepare for vehicle registration

• Issue invoices and delivery orders, and compile them into delivery pouches for Sales Consultant distribution

• Prepare Vitas documentation for vehicle inspection and submit to LTA

• Prepare and submit documentation for new vehicle registrations accurately and timely

• Prepare and process sales documentation including sales contracts, quotations, and invoices to support sales transactions

• Organize and maintain filing systems for easy retrieval of sales-related documents
