KEY ACTIVITIES / ACCOUNTABILITIES

Purchasing & Procurement

 • Prepare and process purchase requisitions (PRs) and payment vouchers (PVs) for HR and office supplies/services.

• Source vendors, obtain quotations, and assist with vendor evaluation and selection in line with company procurement policies.

• Track and confirm delivery of purchased items, and address discrepancies or issues with suppliers.

• Maintain an up-to-date inventory of office supplies and equipment.

Office Management

• Oversee general office administration including maintenance, repairs, and facility management.

• Coordinate with relevant stakeholders for office equipment, stationery, pantry supplies, and other services as required.

• Ensure the office environment is well-organized and conducive to productivity.

• Responsible for supporting the onboarding of new employees by arranging welcome kits and sending out onboarding notifications.

• Manages employee offboarding by sending out offboarding notifications to ensure a smooth transition process.

HR Administrative Support

• Maintain proper documentation and filing of HR and procurement records.

• Support HR projects and initiatives as assigned.

Finance & Compliance

• Ensure all procurement and payment processes comply with internal controls and company policies.

• Liaise with the Finance department to resolve any payment or invoicing issues.

ESSENTIAL EDUCATIONAL AND / OR TRAINING QUALIFICATIONS & CERTIFICATES
Diploma or higher in Business Administration,Human Resources, or related field.

PREFERRED EXPERIENCE AND KNOWLEDGE
• Minimum 2 years of relevant experience, preferably in HR or office administration with exposure to purchasing/procurement.

• Proficient in MS Office applications (Word, Excel, Outlook); experience with ERP systems is an advantage.

• Ability to work independently and as part of a team

• Strong organizational, communication, and time management skills.

• Familiarity with procurement processes and office management best practices.

Job Overview

The Operations Assistant, Air Freight Export Billing is responsible for supporting the air export freight forwarding operations by ensuring accurate shipment billing, timely invoice processing, and effective coordination with internal and external stakeholders. The role requires strong attention to detail, excellent communication skills, and a proactive approach to delivering high-quality customer service while ensuring compliance with company policies and operational procedures.

Key Responsibilities

Billing & Invoice Management

• Update shipment costs accurately in CW1/Tango.
• Ensure timely invoicing of shipments in accordance with company KPIs.
• Verify vendor and intercompany invoices and raise disputes for discrepancies when required.
• Investigate and resolve invoice-related queries and disputes promptly.
• Process Profit Share transactions and coordinate with overseas offices on related matters.

Operations & Customer Service

• Coordinate and communicate invoice-related information with customers, overseas offices, subcontractors, shipping lines, shipping agents, and freight forwarders.
• Manage email correspondence and follow up on outstanding matters in a timely manner.
• Adhere to customer-specific Standard Operating Procedures (SOPs).
• Maintain accurate documentation and reporting for assigned customer accounts.
• Ensure monthly reports are completed accurately and submitted within required timelines.

Compliance & Process Management

• Escalate operational issues and processing delays to the reporting manager when necessary.
• Comply with DSV's Global Standard Processes, Corporate Governance policies, and Code of Conduct.
• Participate in company projects, initiatives, and process improvement activities.
• Provide backup support to team members when required.
• Perform any other duties assigned by management.

Requirements

Qualifications & Experience

• Minimum 1 year of relevant experience in Freight Forwarding, Air Freight Operations, Export Billing, Field Operations, Consolidation Planning, or Scheduling.
• Relevant work experience may be considered in lieu of formal educational qualifications.
• Experience in logistics, supply chain, or freight forwarding environments is preferred.

Skills & Competencies

• Knowledge of export and import freight forwarding operations.
