We are looking for a meticulous Accounts Payable Executive to handle end-to-end invoice processing and ensure accurate, timely recording of all supplier transactions. Key Responsibilities

Invoice Processing

-Review, verify, and process supplier invoices accurately and on time

What You Will Get To Do:

The Executive Assistant, Asia, plays a pivotal role in supporting Calastone’s continued growth and expansion across the Asia region. As a key member of the Asia team, this role is responsible for ensuring the smooth and efficient operation of regional offices, overseeing office administration activities, and supporting business operations across multiple locations.

The position provides high-level executive support to the Managing Director, Asia, while also partnering closely with Sales and Relationship Managers to assist with client engagement, business development activities, and relationship management initiatives. The successful candidate will act as a trusted business support partner, helping to drive operational efficiency, coordinate regional activities, and contribute to delivering an exceptional experience for clients, employees, and stakeholders.

• Manage day-to-day office operations across Asia, ensuring offices operate efficiently and in compliance with local regulatory and workplace health and safety requirements.

• Coordinate office facilities, supplies, equipment, and vendor relationships, including supporting the execution and management of supplier contracts.

• Monitor, manage, and report on office budgets and expenses, ensuring cost-effective operations.

This is a contract position within the Partnership team at the Lifelong Learning Singapore (LLSG). The role provides generalist support across partnership management, programme coordination, and event execution. The incumbent will work across LLSG’s Comms & Outreach and Advisory clusters in addition to the Partnerships team and will play a critical role during the SkillsFuture Festival (SFF) period before transitioning to support the team's leadership programme and ongoing community engagement initiatives through the rest of the year.

Responsibilities:

Partnerships Support

• Assist in the day-to-day management of existing partnerships, including coordination with partners on deliverables and event participation
• Support onboarding of new partners and maintenance of partnership records

Stakeholder Coordination & Meeting Management

Requirements:

1. Accounts Receivable

• Prepare and issue monthly invoices, debit/credit notes, and ad-hoc billings (e.g. laboratory tests, medications, ambulance services, nurse companion fees).

• Record payments and issue receipts to clients.

• Perform month-end closing activities including AR aging, invoice and listing reports.

• Follow up on outstanding fees and overdue accounts.

• Handle billing enquiries and walk-in payments.

• Generate and submit GIRO deduction data and subsidy reports.
