Benefits & Leave Operations Analyst, Japan
(Global Process Delivery Analyst, APAC )
RolePurpose
This role is responsible for the end-to-end operational delivery of Japan employeebenefits and leave administration. The role requires hands-on, workingknowledge of Japanese benefits and leave frameworks, with minimal ramp‑up, to ensure continuity, compliance, andservice quality.
TheSpecialist acts as the operational owner for Japan Benefits and Leaves,partnering closely with Payroll, HR, Global Benefits/Leave COEs, and localvendors to deliver compliant, accurate, and employee‑centric outcomes.
Key Responsibilities
1. Japan Benefits Operations (Core Accountability)
· Own day-to-day administration of Japan benefits, including:
o Social insuranceenrollments and changes (health insurance, pension, employment insurance)
o Dependent enrollment,life events, eligibility changes
o Retirement andsupplementary benefit programs (where applicable)
· Ensure timely and accurate submissions to vendors and authorities withinstatutory deadlines.
· Maintain data accuracy across HRIS and vendor systems; performreconciliations where needed.
2. Japan Leave Administration & Knowledge
· Administer and support Japan leave programs, including:
o Statutory leaves (e.g.,childcare leave, family care leave, sickness-related leave as applicable)
o Company-sponsored leaveprograms and policies
· Partner with Payroll to ensure correct pay treatment during leaveperiods.
· Handle complex or sensitive leave cases with accuracy andprofessionalism.
· Ensure leave processes align with Japanese labor law requirements andinternal policies.
3. Compliance & Risk Management
· Ensure all benefits and leave activities comply with Japanese labor,social insurance, and leave regulations.
· Support compliance checks, audits, and data requests related to Japanbenefits and leave programs.
· Identify compliance risks, gaps, or recurring errors and escalate withclear analysis and recommendations.
4. Vendor & Stakeholder Management
· Act as the operational point of contact for Japan benefits and leavevendors.
· Track vendor responsiveness, data quality, and SLA adherence.
· Manage issue resolution, escalations, and follow-ups with clearownership.
· Partner closely with HRBPs, Payroll, and Global COEs to ensure alignmentand timely decisions.
5. Case Management & Employee Support
· Resolve employee inquiries related to Japan benefits and leaves throughcase management systems.
· Deliver responses that are:
o Legally compliant
o Clear and easy tounderstand
o Empathetic andemployee-focused
· Manage escalated and high-risk cases independently.
6. Documentation, Reporting & Operational Excellence
· Maintain and update SOPs, job aids, and work instructions for Japanbenefits and leave processes.
· Support reporting, data submissions, and global questionnaires (e.g.,retirement or benefits inventories).
· Track recurring issues, SLA breaches, or error trends and contribute tocontinuous improvement initiatives.
Required Qualifications
- Bachelor’s degree or equivalent experience in HR, Operations, or relatedfield
- Demonstrated, hands-on experience administering Japan benefits and Japanleave programs
- Strong working knowledge of:
o Japan social insuranceframework
o Japan statutory andcompany leave administration
- Experience working with Workday, payroll, and local vendors in Japan
- Ability to operate independently with minimal supervision
- Japanese language capability (reading or business communication) is required for communications with Japanese employees
