Overview*

The incumbent will be responsible to provide operational and administrative support for assigned allied health department(s) to achieve expected outcomes in various areas; patient’s service experience, meeting financial targets set, project management, on-the-ground troubleshooting and risk and business continuity management. Incumbent may also be assigned reportee to develop his or her leadership capabilities.

Job Responsibilities*

Primary Responsibilities (80%)

1. Responsible for daily operations of assigned allied health departments, including front counter services, partnering Allied Health Leads and all other staff working within the department to solve system and process problems.

2. Ensure systems and processes are in accordance with HAP/SOP/Work Instructions and periodic reviews and updates of relevant documents

3. Manage annual financial budgeting and periodic reviews of expenditures to achieve financial prudency for assigned allied health department.

4. Manage all procurement needs for assigned allied health department.

5. Monitors utilisation rates of services and drives initiatives to improve utilisation of resources.

6. Manage risk and audit matters for assigned allied health departments.

7. Track, monitor and make recommendations to department KPIs and quality indicators for continuous improvements of services delivered for assigned department.

8. Senior position to work with Allied Health Leads for annual planning and submission of workplans and MOH licensing submission for new and expansion of allied health services.

9. Coordinate and resolve IT Risk assessments, commissioning of biomedical equipment and upkeeping assets register of assigned department.

10. Senior position to participate in department’s medical planning activities paving our way to future campus (IGH).

Secondary Responsibilities (20%)

11. Reporting Officer role for incumbent with high leadership potential

12. Participate in NUHS initiatives (i.e. G.R.O.S.S, Go-Green efforts)

13. Senior position to provide business case analytics for new innovations as part of Value Driven Outcomes concept to drive value-based transformation in allied health services.

14. Work with other stakeholders on special projects, workgroups and/or committees for any new initiatives or process improvements.

15. Any other ad-hoc duties assigned by reporting officer

Requirements*

Qualification Required and Area of Discipline

Degree in any discipline. Graduates from healthcare-related or business management studies will be advantageous.

Required Competencies and Capabilities (Skills, Experiences and Professional Licences)

• At least 2 years (for Assistant Manager) and 4 years (for Senior Assistant Manager) of operational and administrative experiences within hospital setting

• Prior experience with financial budgeting and procurement will be advantageous

• Proficient in Microsoft software

• Knowledge of data analytics/visualisation software and SAP system would be advantageous

Overview*

Incumbent is required to provide (i) ops & administrative support and (ii) informatics systems support for allied health departments, ensuring smooth daily operation.

This is a hybrid role to provide operation and admin support for assigned allied health department(s).

Working closely with allied health leads, incumbent is responsible for monitoring, maintenance and updates of relevant IT systems used by various allied health departments, including audit works, preparing budget and project management. Incumbent will help to coordinate allied health informatics systems for hospital future campus (IGH) and continuous maintenance thereafter.

Job Responsibilities*

Primary Responsibilities and Duties (80%)

1. Responsible for daily operations of assigned allied health departments, including front counter services, partnering Allied Health Leads and all other staff working within the department to solve system and process problems.
2. Manage annual financial budgeting and periodic reviews of expenditures to achieve financial prudency for assigned allied health department
3. Manage all procurement needs for assigned allied health department
4. Monitors utilisation rates of services and drives initiatives to improve utilisation of resources.
5. Manage risk and audit matters for assigned allied health departments.
6. Track, monitor and make recommendations to department KPIs and quality indicators for continuous improvements of services delivered for assigned department Contribute to the strategic evolution of departments’ systems and applications on cloud storages, leveraging Synapxe/private solutions to optimize service provision and achieve long term cost-effectiveness.
7. Prepares annual IT workplan submissions in consultation with department leads and system manager. Coordinate acquisition and implementation.
8. Assess and handle EPIC change requests from users. Handle build changes to fulfill user requirement or resolution of root cause.
9. Support integrations work between various internal systems and external client systems, compliance to security requirements, ensuring seamless data flow and functionality.
10. Upgrade existing IT systems to meet new requirements. Work closely with key staff in supported departments, automate workflow by using IT solutions whenever possible.
11. Supports System Manager in:

• Maintenance of department's servers, EUCs.
• Acquisition and implementation of computer system and accessories.
• Compilation of schedule workload statistical reports.
• Undertaking of scheduled and ad hoc data extraction and compilation as required by users.
• Price updates, charge rectification and audit activities..

1. Maintaining contracts and following-up with system vendors and department
2. Responsible to review, update and implement IT SOPs according to MOH, cluster and Synapxe directive, including business continuity measures during downtime.
3. In-charge of regular IT audits for assigned allied health departments.

Requirements*

Qualification Required and Area of Discipline

Degree in healthcare management or related studies with 4 years of experience or relevant qualifications in healthcare informatics systems.

Required Competencies and Capabilities (Skills, Experiences and Professional Licences)

• Prior hospital operations experience with works involving budgeting, procurement and data analytics will be highly advantageous
• Good understanding of information security policies, network security and firewall administration
• Effective and demonstrable analytical, problem solving and organisational skills with high level of attention to details
• Ability to prioritise and simultaneously work on multiple tasks and projects within tight timeline
• Self-motivated, able to learn quickly and be flexible
• Work independently with minimal supervision

Overview

The candidate will be responsible for coordinating and managing the operational delivery of key educational initiatives within the hospital. This role supports the provision of high‑quality learning experiences for medical officers, and clinicians through well‑structured programmes and events that align with the hospital’s overall education strategy.

Job Responsibilities

You will be responsible for the following:

Medical Officer Administration

• Manage Medical Officer (MO) postings by coordinating onboarding, rotations, and placements for incoming MOs.
• Coordinate MO onboarding, rotations, and postings in collaboration with departments and NUH.
• Administer training and compliance processes for MOs, including mandatory courses and documentation.
• Manage MO appraisals and ranking exercises in liaison with faculty and the Ministry of Health Holdings (MOHH).
• Act as the primary point of contact for MO‑related queries.
• Provide operational support to the MOPEX Director.

Residency Administration

• Serve as the primary point of contact between residents and senior residents, faculty members, and relevant departments for assigned residency training programmes at AH.
• Coordinate communication and administrative processes to support the smooth delivery of residency training activities.
• Manage Programme Letter of Agreement (PLA) documentation, ensuring timely preparation, tracking, and compliance.
• Administer faculty appointment letters in accordance with institutional and training requirements.

Procedural Courses Coordination & Onsite Support

• Manage procedural course schedules, registrations, and logistics.
• Ensure training resources are available and fully functional.
• Provide onsite operational support for course delivery.

Other Roles

• Manage departmental administrative duties, including onsite support for teaching sessions, minute‑taking for meetings, and coordination of courses.
• Participate in cluster‑led committees and activities.
• Provide coverage across the Postgraduate Team as required.

Requirements

• Degree in any discipline
• 3 to 5 years’ work experience in an administrative related role, preferably in an educational/ healthcare institution
• Possess excellent oral and written communication skills with the ability to confidently engage and consult with senior level internal and external stakeholders
• Strong organizational ability and high attention to details
• Self-driven with a high level of autonomy and yet be a team player simultaneously
• Able to set priorities, multi-task, well organized, meticulous and thorough in monitoring projects and providing administrative support
• To be proactive and demonstrate creative, innovative to problem solving
• Willingness to adopt flexible work hours if needed
