Job Description:

• Coordinate end-to-end training operations including registration, scheduling, venue setup, attendance tracking, LMS management, and post-training follow-up
• Provide administrative and logistical support for training sessions, including materials preparation, refreshments, manpower allocation, and budget tracking
• Act as key liaison between learners, trainers, facilitators, and partner organisations to ensure smooth communication and programme delivery
• Support assignment of facilitators based on training needs and participant profiles, and manage feedback collection after sessions
• Ensure compliance with funding requirements, maintain accurate records in TLMS/SharePoint, and support audit readiness and internal finance procedures

Requirements:

• Degree in any course
• Meticulous and proactive
• Prefer at least one year of experience in training administration

ASPRI-IPI, the training arm of ASPRI, is a non-profit organisation dedicated to advancing the Process Industry in Singapore. We collaborate with industry leaders, government agencies, and subject matter experts to develop and deliver high-quality training programmes.

Position Overview

The core responsibility of this role is to provide technical and administrative support to ensure delivery of training courses that meet the required standards.

Training Operations

• Plan and coordinate resources and other logistics which are required to support training programmes and day-to-day operations, including technical assistance to ensure smooth operation of technical equipment, tools and training infrastructures.

• Timely uploading and submission of trainee’s course result, issuance of certificates and tracking of controlled documents.

• Collect, analyse and prepare data for submission in accordance with WSQ and Training Centre protocols.

• Support Service Quality Unit on course administrative matters

• Other duties and projects as assigned by the management.

Business Development

• Assist with marketing and outreach programme, including events, seminars and career roadshows designed to enhance the image of the Training Centre and increase course demand.

• Support any other corporate activities or events organise by ASPRI.

Suppliers Management

• Source, negotiate, monitor and feedback on the performance of outsourcing partners and vendors, ensuring compliance to technical specifications and service standards.

Quality Management

• Maintain and track various items under the training quality management system

• Assist management with preparation for audits and other regulatory requirements by Accreditation Bodies.
  

You should possess the following:

• Ability to effectively manage time and schedules under tight deadline and pressure;

• Strong adaptability skill, able to work independently as well as in a team;

• Strong communication skills with good customer service aptitude;

• Proficiency in Microsoft Office and other IT applications

• Willingness to work a flexible schedule, including shift duties on a rotational basis (estimated twice a month for evenings and once a month for weekends), generous perks provided.

• Willing to travel to Jalan Papan, where our training centre is located.
